Mission for Operations Manager To manage day-to-day operations of the business by:
- Onboarding new clients
- Developing campaign strategy
- Managing campaigns
- Communicating with clients
- Communicating with the team
Outcomes // KPIs1. The business is operating smoothly on a day-to-day basis You'll achieve this through these primary methods:
Onboarding recent clients
- When we sign a new client, you own onboarding end to end: welcome message and call, client set up in GoHighLevel, access to their Meta Business Suite, ad account, pages and Google Ads, payment method confirmed, and the client handed to their Client Success Manager.
- Book their first video shoot and brief the videographer, so content exists before launch.
- Make sure the media buyer has everything needed to launch: offer, service area, budget, creatives, lead form or landing page, and CRM pipeline tested end to end.
Developing campaign and creative strategy
- As soon as a client completes the onboarding form, review it and build the launch plan with the media buyer: offer, audience, budget split between Meta and Google, and the creative angles to shoot.
- Before every monthly shoot, build the shot list and scripts using our proven frameworks, customized to the client.
- When existing clients are due for new video shoot, you'll communicate with the team and the client to schedule a new videoshoot at a suitable location.
Managing campaigns
- You don't run the ads, the media buyers do. You make sure they're run well: review every active account for cost per lead, cost per appointment, lead quality, spend pacing and creative fatigue.
- Confirm leads are flowing into GoHighLevel and that appointment setters are calling and booking them fast.
- Always keep clients informed of any updates
- You update the client health sheet as needed
Running monthly video shoots
- Every active client gets a shoot every month. Schedule it with the client and a local videographer, confirm the day before, and attend key shoots in person.
- Make sure footage reaches the editors the next day and finished ads are approved and live within the agreed turnaround.
Communicating with clients
- Run bi-weekly update meetings with every client: results, what's working, next month's plan, and whether they're attending estimates and signing jobs.
- Own phone and text communication alongside the Client Success Manager; client messages answered the same hour (within working hours).
Communicating with the team
- Run a short team stand-up and keep every task assigned, dated, and visible.
- Hold weekly one-on-ones with team leads, including the remote team in other time zones.
- Hold people accountable to deadlines and quality; flag performance issues early.
2. Daily execution of team & administrative tasks In addition to managing the day-to-day operations, you will have a minimal amount of administrative tasks. Daily check-ins
- Check in with Anas daily: today's priorities, blockers, and anything that needs a decision
- Share ideas for improving existing workflows
- Ask questions
Communicating with clients
- Let clients know about any campaign updates, shoot dates, and changes before they have to ask
Delivering work on time
- You'll be notified whenever we sign a new client, a client is due for a shoot, or a campaign needs a refresh — and you own getting it done on schedule
Creating SOPs and improving workflows
- Document everything you do so we can hire more team members
- Using tools like Loom, written SOPs, and AI workflows
- Provide thoughts and feedback on the way we do things
Competencies
- Critical thinking and problem solving: You're going to be managing the day-to-day operations of the business. There will be unforeseen problems that need to be solved, so you'll need to be able to handle the pressure and think critically based on your experience. We're always looking for ways to better serve our clients by optimizing the way we work.
- Extreme ownership: You treat this business like it's yours. If something breaks, you fix it and fix the system that let it break. No excuses, no waiting to be told. When the business needs extra hours or a weekend, you show up without being asked twice.
- Leadership and accountability: Lead, coach, and hold a team of 10+ to high standards in person and remote. Set clear expectations, follow up, and address issues early.
- Communication and innovation: Be able to update the team and clients on your work and latest findings.
Being able to share your thought process clearly and transparently is important. Our biggest breakthroughs as an agency have come after we make changes to our processes and workflows, so you should always be looking to innovate.
- Honesty and humility: Being able to admit when you're stuck, need help, or made a mistake is important so we can assist you or fix a problem. I've messed up more times than I can count; it's part of the game. The clients always appreciate this.
- Challenge the status quo: Even when operations run smoothly, keep asking how they can be better, faster, or automated.
- Attention to detail: The smallest details a broken lead form, a missed shoot confirmation, make the difference. Be process oriented.
- Marketing literacy: You understand Meta and Google Ads fundamentals (CPL, cost per appointment, creative fatigue, lead quality) well enough to challenge a media buyer and explain results to a client.
