Morgan Construction and Environmental
Edmonton
Overview Are you ready to embark on an exciting journey with Morgan Construction where you’ll play a pivotal role in the dynamic world of heavy civil construction? Our team is made up of experts in their fields; we move the earth
- and we love it At Morgan, we don’t just build projects; we build careers and futures. Help connect our project sites, procurement team, and Finance department through accurate receiving and reliable project cost information. Morgan is seeking a PROJECT SERVICES COORDINATOR to centralize purchase order receiving for our operational sites from our Edmonton corporate office. In this new role, you will manage the receiving step in PACE (Procurement, Approvals, Contracts, Expenditures), Morgan’s in-house purchase order system. Training on PACE is provided. This is an office-based coordination role—not a warehouse or physical receiving position. Site teams receive goods and confirm services; you will use their signed packing slips, delivery tickets, and approved service records to create accurate, correctly coded receipts in PACE. Your attention to detail and follow-through will help ensure invoices can be matched, project costs are recorded in the correct period, and receiving records are supported by complete documentation. Receiving accuracy and month-end deadlines are the primary priorities, with additional support for cost coding, client billing, document control, and project administration as capacity allows. If you enjoy investigating discrepancies, keeping records organized, and working collaboratively with site and office teams, this role offers the prospect to help shape a growing centralized process. The ideal candidate combines curiosity with a strong sense of ownership. Rather than simply processing transactions, they strive to understand the business context behind their work and identify opportunities to improve outcomes. They excel in a high-volume environment, comfortably balancing competing priorities while maintaining a high degree of accuracy and attention to detail. The Impact You’ll Make
• Help establish a consistent receiving process across operational sites.
• Keep receiving records accurate, timely, and supported by documentation for month-end reporting and audits.
• Reduce invoice delays by resolving missing information and receipt discrepancies.
• Improve cost coding, document practical work instructions, and help train backup coverage.
Key Responsibilities
Receiving in PACE
• Create Receipt of Goods (ROG) records in PACE for operational sites, confirming the purchase order (PO), items, quantities, and site contact who accepted delivery.
• Record the actual delivery or service date and assign the correct job, cost code, and line type so costs are recorded in the appropriate period.
• Record partial deliveries, back orders,
and returns to keep PO statuses accurate.
• Confirm services against approved completion records, such as superintendent-signed field tickets, labour, equipment and material (LEM) records, or timesheets. Documentation and Controls
• Verify and attach supporting documentation before completing each receipt.
• Investigate missing documentation and discrepancies in PO quantities, values, or line items; escalate unresolved issues and refer PO changes to Buyers.
• Maintain segregation of duties: this role does not create or approve POs, enter or post invoices, or manage PACE user access or approval limits.
• Flag unusual purchasing or receiving patterns to your manager and Finance, and provide records for internal and external audits. Month-End and Accruals
• Coordinate receiving and month-end follow-up between Operations and Finance, prioritizing high-value and aged items before cutoff.
• Help Finance identify goods and services received but not yet recorded in PACE or invoiced, including items with outstanding paperwork.
• Review open, partially received, and received-but-not-invoiced POs, and follow up with sites, Buyers, and Accounts Payable to resolve outstanding items. Site Procurement and AP Coordination
• Communicate receiving documentation requirements and deadlines, and follow up with site teams on missing or incomplete records.
• Work with Accounts Payable to resolve invoice-to-receipt discrepancies and support timely vendor payments.
• Coordinate with Buyers to correct PO errors, close POs that are no longer required, and clear outdated commitments.
• Introduce new projects and site personnel to the receiving process at project start-up. Cost Coding and Billing Support
• Review receipt cost coding and coordinate corrections with Project Controls and Finance.
• Provide receiving records, supporting documentation, and cost details for client billing as requested. Document Control and CDMS
• Maintain complete, accessible receiving and procurement records in CDMS and Morgan’s document control system.
• Support the Project Administration team with CDMS questions and consistent document filing practices. Process Improvement and PACE
• Become a PACE receiving super-user, report system issues, and recommend improvements to the in-house PACE team.
• Develop and maintain receiving work instructions, and train backup coverage and site personnel.
• Report monthly receiving metrics,
including turnaround time, month-end completion, receiving-related invoice holds, and correction rates. Project Administration Support
• Support the Project Administration team on project administration tasks as capacity allows, after receiving and month-end priorities are met. What You Bring
• At least two years of experience in receiving, purchasing, accounts payable, inventory, or operations administration, preferably in a project-based industry.
• Hands-on experience with purchase orders and three-way matching of POs, receipts, and invoices, including how receiving payables, job costing, and accruals.
• Working knowledge of month-end cutoff and accruals.
• Strong attention to detail and accuracy when reviewing numbers, coding, and supporting documents.
• Clear, professional communication and consistent follow-through with site teams, Buyers, and other stakeholders.
• Sound judgment to investigate discrepancies and escalate issues rather than process unsupported transactions.
• Experience using an enterprise resource planning (ERP), purchasing, or accounting system, plus intermediate Microsoft Excel skills, including filters, lookups, and pivot tables. Training on PACE is provided.
• A post-secondary diploma or certificate in business, accounting, or supply chain, or an equivalent combination of education and experience. Additional Assets
• Experience in heavy civil construction, mining, oil and gas, or industrial services.
• Familiarity with construction job cost coding and field documentation such as packing slips, delivery tickets, field tickets, and LEMs.
• Experience with Eclipse ERP.
• Experience testing a new or in-house software system and giving structured feedback.
• Supply chain or accounting coursework or designation in progress (for example, SCMP or CPA courses). Work Location and Schedule
• Monday to Friday, 8:00 AM to 5:00 PM, in the Edmonton office.
• Extended hours may be required at month-end and year-end.
• Occasional travel to project sites may be required to train site personnel. What Morgan Offers
