The Cash Applications Representative plays a crucial role in ensuring accurate and efficient processing of incoming payments for our organization. Their primary responsibility is to apply payments received from customers to their respective accounts, reconcile discrepancies, and maintain detailed records of transactions. They possess meticulous attention to detail, strong analytical and exceptional customer service skills and are an integral part of the finance team, supporting the organization's financial health and customer relationships. Core Responsibilities: Payment Processing: Accurately post and apply incoming payments from customers to their accounts using appropriate accounting software and systems. Reconciliation: Perform regular reconciliations between payment data, bank statements, and the general ledger to ensure accuracy and identify any discrepancies or outstanding items. Dispute Resolution: Collaborate with internal teams and customers to investigate and resolve payment discrepancies or unidentified transactions promptly. Customer Inquiries: Respond to customer inquiries regarding payment application, billing statements, and account status in a courteous and professional manner. Cash Flow Management: Monitor and report on the status of outstanding payments and proactively follow up on overdue accounts to improve cash flow. Record Keeping: Maintain accurate and organized records of cash application transactions, adjustments, and communication with customers. Compliance: Adhere to company policies, industry regulations, and accounting standards while processing payments and handling sensitive financial information. Reporting:



Prepare regular reports on cash application metrics, payment trends, and outstanding receivables for management review. Process Improvement: Identify opportunities to streamline cash application processes, reduce errors, and enhance efficiency in collaboration with the finance team. Team Collaboration: Collaborate with cross-functional teams, including Accounts Receivable, Sales, and Customer Support, to facilitate seamless payment processing and ensure customer satisfaction. Other duties as assigned Mandatory Requirements Years of Experience: 2+ Knowledge of Cash Applications processes Bachelor's degree in finance, accounting, or a related field is preferred. Strong knowledge of accounting principles and practice Proficiency in using accounting software and MS Office applications, particularly Excel. Excellent attention to detail and accuracy. Strong analytical and problem-solving skills. Effective communication, negotiation and interpersonal skills. Ability to prioritize tasks and work efficiently in a fast-paced environment. Experience within the construction industry Software/System Experience: Proficiency in O365, and Internet Information Gathering/Research IMS is a mid-sized company with a small-company feel.
