Job Responsibilities:

- Employee record management:
- Create and maintain employee files, including generating employee numbers and processing recent hire forms and records.
- Generate employment letters.
- Manage a growing list of Work Permits/SIN 9's ensuring compliance with company policies.
- Track and monitor employee work permits to ensure compliance with immigration employment regulations.
- Coordinate with employees and managers on renewals or updates, keeping HR/payroll apprised.

- HRIS updates and internal employee movements:

- Utilize the HRIS to update employee records, including job changes, promotions, and internal movements.
- Collaborate to ensure new hires are accurately onboarded in HRIS (Workday), with timely access to benefits, systems, and payroll.

- Data reporting:

- Generate reports to provide key workforce data, including keeping track of the Open Positions Report.

- Communication:





- Email distribution and internal communications.
- Regularly update Canadian email distribution lists, ensuring timely and accurate dissemination of internal communications.

- Support the development and facilitation of training programs.
- Coordinate recruitment logistics:

- Coordinate interviews.
- Post job openings.
- Complete background checks.

- Handle employee inquiries and escalate as needed.
- Handle invoices, route them through the proper channel for approvals and payment processing.
- Perform any other tasks as assigned.
