About the Role

We are looking for a polished, proactive, and service-oriented Reception & Guest Experience Coordinator to be the welcoming face of our Winnipeg workplace.

In this role, you will create a warm and professional experience for employees, executives, clients, visitors, and vendors. You will be responsible for managing the front desk and reception experience while also supporting meetings, conference rooms, mail and courier services, pantry and snack programs, and general workplace needs.

We are looking for someone who is confident taking ownership, managing competing priorities, and ensuring tasks are completed to a high standard without significant day-to-day oversight.

What You'll Do

Reception & Guest Experience

- Serve as the primary point of contact for employees, clients, executives, visitors, and vendors.
- Create a warm, qualified, and welcoming reception experience.
- Manage front desk coverage and ensure the reception area is consistently organized and presentable.
- Register and check in visitors and provide guest badges as required.
- Anticipate guest needs and provide helpful information about the office, building, transportation, local restaurants, and surrounding area.
- Maintain a professional and discreet approach when supporting executives and VIP visitors.

Workplace & Meeting Support

- Coordinate conference room reservations and provide meeting and event support.
- Assist with meeting room setup, refreshments, supplies, catering, and other logistical requirements.
- Coordinate with catering suppliers and external vendors to ensure a seamless experience.
- Support office meetings, community activities, and workplace events.

- Work collaboratively with internal stakeholders and service partners to address workplace needs and resolve issues.

Office & Hospitality Support

- Manage incoming and outgoing mail and courier deliveries.
- Support the office pantry and snack program, including monitoring inventory and replenishing supplies.
- Assist with kitchen-related duties and maintain clean and organized common areas.
- Load and unload the dishwasher as required.
- Help maintain a clean, organized, and welcoming workplace environment.
- Complete opening and closing duties as required.
- Support workplace security, fire, health, safety, and emergency procedures.
- Identify opportunities to improve the employee and visitor experience.
- Take on other workplace support responsibilities as needed.

What You'll Bring

- Previous experience in reception, hospitality, guest services, workplace experience, office administration, or a related customer-facing role.
- Experience in a luxury hospitality environment, corporate office, restaurant, or hotel is considered a strong asset.
- Exceptional customer service skills and a genuine passion for creating positive experiences.
- Excellent verbal and written communication skills.
- Strong interpersonal and relationship-building abilities.
- A polished, professional presence and commitment to business attire.
- Strong organizational skills and attention to detail.
- Ability to manage multiple priorities and meet deadlines in a busy environment.
- Excellent problem-solving skills and sound judgment.

- Strong technical skills and the ability to quickly learn new systems and processes.
- Intermediate to advanced proficiency with Microsoft Office, including Outlook, Teams, Excel, and PowerPoint, is preferred.
- A proactive, resourceful, and solutions-oriented approach to work.
- Ability to work independently and take ownership of responsibilities with minimal supervision.
- Smart Serve certification, or willingness to obtain certification, is considered an asset.

Who Will Be Successful in This Role?

You are someone who sees what needs to be done and takes action.

You don't need to be closely supervised to stay organized, prioritize tasks, or follow through. You are comfortable being the person others rely on to keep the reception area running smoothly, visitors feeling welcome, meetings supported, and everyday workplace needs taken care of.

You bring a hospitality mindset to everything you do, while also having the organization, independence, and execution skills required to support a busy professional office.

If you are personable, dependable, detail-oriented, and take pride in delivering an exceptional workplace experience, we'd love to hear from you.
