Heartbeat Group of Companies | Calgary, AB (In-Person)
Schedule: Full-time, 5 days a week. We operate 7 days a week, and shifts include some weekends.
Compensation: $45,000–$60,000/year, based on experience
This Isn’t a Front-Desk Job
Heartbeat Group runs some of Western Canada’s busiest first aid and safety training brands, including First Aid Training Calgary, First Aid Training Edmonton, and Certified Safety Training. Every day, hundreds of students, employers, and safety teams count on us to get them booked, certified, and back to work.
We’re looking for the person who keeps that machine running. You’ve probably run the front of a medi spa, a high-volume clinic, or a busy practice where the phone never stops, the schedule changes by the hour, and you’re the reason everything still runs on time. You don’t wait to be told what’s next. You already know, and you’ve handled it.
What You’ll Own
- Inbound sales. Answer calls, chats, and inbox enquiries, and turn them into confirmed bookings. You know how to guide someone from “just asking” to “booked and paid.”
- Daily operations. Build and finalize next-day class rosters so every instructor walks into a room that’s ready to go.
- Enrolment and payments. Confirm enrolments, process payments, and follow up on “Payment Required” bookings until they’re closed.
- Student progress. Track blended and online learners, send online course access, and step in before anyone falls through the cracks.
- Inbox and chat. Manage the Info Box and support live chat during peak periods with speed and accuracy.
- Inventory. Run regular course inventory checks so we’re never caught short.
- Systems. Keep booking statuses clean and accurate. You treat the CRM as the source of truth, and you keep it that way.
- Tools and AI. Use our CRM,
booking systems, and AI-powered tools to work faster and keep the customer experience sharp.
Who You Are
- 2+ years in a high-volume admin, reception, or patient/client coordination role (medi spa, clinic, dental, physio, or similar).
- A multitasker who can handle a ringing phone, an open chat, and a payment issue at the same time without dropping anything.
- A problem solver who fixes the issue rather than escalating it.
- Warm and confident on the phone, and comfortable asking for the sale.
- Highly organized and detail-obsessed. Clean data matters to you.
- Tech-savvy and comfortable with AI tools. You pick up new booking platforms, CRMs, and automation quickly, and you look for smarter ways to get things done.
- Self-directed. You manage your own priorities and hold a high standard without someone checking in.
- Bonus: First Aid, CPR, or safety training background
Why This Role
- A quick-growing company with expansion into new markets across Western Canada.
- Real ownership. You’ll be trusted to run your desk.
- Clear processes and expectations, so you can focus on performing.
- Room to grow as we scale our teams and systems.
- Group health benefits through Manulife.
