## About Us
Tails Farewell is a dedicated water-based pet cremation and memorial service company providing compassionate aftercare to pet families during their time of loss. We help families say goodbye with the love, respect, and dignity their pets deserve.
As a growing company, we are committed to making a meaningful impact in our community through exceptional care and thoughtful service.
## Position Overview
We are looking for a compassionate, dependable, and exceptionally detail-oriented Client Care & Pet Aftercare Coordinator to join our Downtown Toronto team. This part-time role focuses primarily on end-to-end case management, client care, coordination, and administration, alongside hands-on memorial preparation and maintaining a safe, clean workplace.
You will help manage each pet aftercare case from the first inquiry or veterinary referral through appointments, transfers, aquamation updates, final packaging, and family pickup. We are looking for someone who takes ownership, knows what needs to happen next, and communicates proactively with colleagues and families.
## Key Responsibilities
- Manage pet aftercare cases from intake to completion: respond to calls, emails, and veterinary portal referrals; gather information; coordinate appointments and farewell sessions; and provide compassionate client support.
- Track case progress and next steps across Downtown, Markham, veterinary partners, and families, including pet transfers, aquamation milestones, client updates, memorial requests, and final pickup.
- Maintain highly accurate digital and physical records, paperwork, case statuses, client communications, and related administrative documentation; follow up proactively on outstanding items.
- Prepare farewell rooms and memorial products, including careful hands-on packaging, keepsakes,
and final presentation; apply a good eye for aesthetics and conduct thorough identity and quality checks.
- Assist with the respectful moving, cleaning, and preparation of deceased pets when required, following identification, hygiene, and safety procedures (training provided).
- Keep work areas, farewell rooms, packaging stations, and shared spaces clean, hygienic, safe, and organized; support routine cleaning, supplies, and day-to-day operations.
- Communicate proactively with teammates, including managers and other operational staff, about case progress, handoffs, special requests, and issues requiring attention.
## Physical & Work Environment Requirements
- Ability to safely lift and move items up to 45 lbs
- Comfortable working respectfully around deceased pets, including assisting with moving, cleaning, and preparation when required.
- Comfortable standing, handling memorial products, completing careful hands-on packaging, and performing routine cleaning tasks.
- Willing and able to follow safe handling, hygiene, and workplace safety procedures; training will be provided.
- Comfortable working in an emotionally sensitive environment and supporting grieving pet families.
## Qualifications
- Genuine compassion for pets and their families, with professional, sensitive communication skills.
- Exceptional attention to detail and accuracy, especially with pet identification, names, records, memorial items, and final packaging.
- Strong ownership, reliability, organization, time management,
and follow-through; able to coordinate multiple cases without constant reminders.
- Clear, proactive communication and a collaborative approach to working with colleagues and veterinary partners.
- Good aesthetic judgment, patience, manual dexterity, and willingness to learn practical packaging and memorial-preparation skills.
- Comfortable using email, digital systems, and administrative records; able to learn new workflows and software.
- Availability for approximately 16–24 hours per week, preferably across at least four on-site days. Scheduling will be discussed during interviews.
- Experience in veterinary reception, animal care, client service, case coordination, administration, or memorial services is an asset. Registered Pet Funeral Director designation or other IAOPCC certifications are highly valued..
## Work Environment & Growth
- A small, collaborative team committed to compassion, dignity, cleanliness, and attention to detail.
- A mix of client-facing communication, detailed administration, hands-on memorial preparation, and routine store upkeep.
- Training will be provided for specialized processes and safe handling procedures.
- Part-time position with potential to develop into a full-time role as the business grows.
If you are compassionate, highly organized, meticulous about details, and take pride in seeing every case through to a thoughtful final presentation, we would love to hear from you.
