About us

Total Home Access supplies, installs, and services residential elevators, wheelchair lifts, stairlifts, and other accessibility equipment throughout the Lower Mainland and Sunshine Coast.

We’re a growing, locally owned company looking for an organized, personable coordinator to help keep our installation schedule, service work, and office running smoothly.

About the role

Your main responsibility will be coordinating installations and service appointments, keeping customers informed, and making sure our technicians have the information they need.

You’ll also answer our office line, maintain customer and project records, coordinate permit applications, and support quotations and general office administration.

You’ll work closely with the owners and lead technician. This position would suit someone who enjoys taking ownership, following through, and bringing order to a busy day.

What you’ll do

Installation and service coordination

- Schedule installations, service calls, and preventative maintenance appointments.
- Coordinate with customers, builders, technicians, and suppliers.
- Plan appointments with travel time, technician availability, and job requirements in mind.
- Maintain an accurate list of outstanding service requests, including jobs awaiting parts, approval, or scheduling.
- Confirm site readiness, equipment availability, and required documentation before installations.
- Update customers when schedules change and follow up until work is completed.
- Track parts orders, deliveries, and outstanding items.

Customer service and sales support

- Answer incoming calls and emails professionally and direct technical questions to the appropriate team member.
- Gather information from new inquiries and service requests and record explicit, accurate notes.
- Prepare and send quotations using established pricing and guidance from management.
- Follow up on quotations and help coordinate showroom appointments.
- Provide friendly, patient service to homeowners, builders, and customers with accessibility needs.

Administration and project support

- Keep customer information, schedules, project notes, and documents current in JobTread.
- Prepare and submit permit applications using information approved by the technical team.
- Track permit status and help coordinate inspections.
- Collect completed service reports, technician notes, and other documents needed for billing and project closeout.
- Assist with maintenance reminders, service agreement administration, and general office tasks.
- Help improve our scheduling and administrative processes as the company grows.

What we’re looking for

- Ideally, at least two years of experience in service coordination, scheduling, dispatch, or a similar administrative role, but we are willing to train the right person.
- Experience working with trades, construction, installation, or field service teams is a strong asset.
- Excellent organization, attention to detail, and follow-through.

- A friendly, professional phone manner and strong written communication.
- Confidence handling changing schedules and competing priorities.
- Comfort using business software, email, spreadsheets, and shared calendars.
- Ability to work independently and recognize when an issue needs to be escalated.

Elevator industry experience is not required. We’ll provide training on our products and processes.

What we offer

- $26–$34/hour, depending on relevant experience.
- Full-time, permanent employment with a Monday–Friday schedule.
- Optional hybrid working arrangements following training.
- A small team where your work has a direct impact.
- Training and the opportunity to grow with the business.
- Meaningful work helping people improve access and independence in their homes.

Location and hybrid arrangement

This position is based at our Burnaby office. Initial training will take place primarily in person.

Once trained and able to manage the role independently, the position offers the option to work from home one or two days per week, with three or four days in the office. The schedule will be agreed upon with management based on operational needs and office coverage.

Working fully in the office is also welcome. Consistent availability during scheduled working hours is required, including answering the office line on home-working days.
