The role identifies variances and control gaps, recommends corrective action and supports timely management decisions.

This role is hybrid and requires you to be at our downtown Toronto and/or Client office at a minimum 1-2 days per week subject to change at any time.

Your future duties and responsibilities

Project Financial Management, Forecasting & Controls
Primary focus: approximately 80–85%

- Own the weekly and monthly project financial-control cycle across assigned projects, ensuring that information is complete, accurate and available within required reporting timelines.
- Maintain current project budgets, forecasts, estimates, actual costs, commitments and estimate-at-completion views; reconcile forecast versus actual results and investigate material variances, anomalies and data-quality issues.
- Track project costs against approved budgets, monitor burn rate and committed spend, and identify emerging financial pressure, under-utilization or forecast risk.
- Work with Project Managers and Finance to validate resource plans, resource rates, allocations, vendor costs, capitalization assumptions and other cost drivers used in project forecasts.
- Maintain project lists and resource-assignment records, ensuring project, resource, allocation, rate, start/end-date and status information remains accurate and current.
- Issue timely allocation, rate and resource-change updates to Finance, Project Managers and other stakeholders, and ensure approved changes are reflected promptly in forecasts and project records.
- Perform weekly and monthly reconciliation of financial data from the general ledger, project financial systems, resource records and supporting files; resolve discrepancies and retain appropriate reconciliation records.
- Produce budget-to-actual, forecast-variance, burn-rate, committed-spend, resource-cost and estimate-at-completion reporting, including clear commentary on risks, assumptions, trends and decisions required.
- Maintain resource-cost estimates and assess the financial impact of onboarding, offboarding, extensions, replacements, allocation changes and rate changes.
- Coordinate vendor invoices, purchase orders and payment tracking; validate charges against project budgets, contracts, approved rates and commitments.
- Maintain complete and traceable financial records, supporting calculations, approvals and reconciliation documentation.
- Proactively identify financial exceptions, control gaps and emerging risks; perform analysis, recommend corrective action and escalate material issues with appropriate context.

Management Reporting, KPIs & Project Reviews

- Prepare concise weekly and monthly status reports, dashboards and management presentations that highlight financial performance, milestones, risks, issues, actions and decisions required.
- Plan, prepare and facilitate recurring project and portfolio review meetings with management, ensuring that financials, forecasts, milestones, risks, actions and exceptions are clearly presented.
- Document decisions and action items, confirm owners and due dates, and follow through to closure while escalating overdue or material items.
- Analyze project and financial trends,

explain root causes and translate detailed information into clear recommendations for Project Managers, Finance, Sponsors and senior management.

Project Schedule, Governance & Supporting Controls
Secondary focus

- Track progress against key milestones, deliverables and dependencies; keep status information current and highlight slippage or emerging schedule risk.
- Help build and update project schedules and plans, confirm that milestones and dependencies are reflected accurately, and follow up on overdue activities.
- Keep risk, issue, action, dependency, decision and change logs current, with clear ownership, due dates, status and escalation information.
- Coordinate change-control documentation, maintain change records and approvals, and ensure the impact of approved changes is reflected in budgets, forecasts, plans and reporting.
- Maintain project-management tools, SharePoint sites and approved repositories, including document structure and version control.
- Monitor adherence to PMO standards, project lifecycle requirements, templates and reporting expectations; perform quality reviews of core project artifacts and drive remediation of gaps.
- Coordinate resource onboarding/offboarding, timesheet compliance and replacement activities as required, ensuring associated financial and assignment records are updated.
- Assist with the collation and quality review of change and release artifacts, confirm required approvals are complete, and support timely production-change submissions.
- Share knowledge, mentor junior PCOs where appropriate and promote disciplined financial management, project controls and reporting practices.
