Harmony Physiotherapy & Wellness is a growing multidisciplinary clinic in Ottawa offering physiotherapy, pelvic health physiotherapy, massage therapy, psychotherapy, and nutritional counselling.

As we continue to grow, we're looking for an organized, proactive, and people-focused Clinic Manager who can help lead our daily operations while supporting the continued growth and success of the clinic.

About the Role

This is a hands-on leadership position that combines clinic administration, operations management, patient experience, and business development.

We're looking for someone who enjoys working with people, takes initiative, solves problems, and is excited about helping a growing healthcare business reach its potential.

You will be responsible for ensuring the clinic runs smoothly, supporting our practitioners, creating an exceptional patient experience, and helping implement initiatives that bring more patients and opportunities to Harmony.

Key Responsibilities

Clinic Operations & Administration

- Manage daily front-desk operations, appointment scheduling, patient inquiries, and administrative workflows.
- Oversee patient registration, billing, direct billing, and payment processes.
- Maintain accurate records and ensure administrative processes follow privacy and clinic policies.
- Coordinate practitioner schedules and help improve appointment availability.




- Manage clinic supplies, office organization, and operational needs.
- Identify opportunities to improve efficiency and reduce administrative bottlenecks.

Patient Experience & Team Support

- Create a warm, qualified, and welcoming experience for every patient.
- Respond to patient questions and concerns with empathy and professionalism.
- Support the onboarding and training of administrative staff.
- Help maintain strong communication between practitioners and the administrative team.
- Monitor patient feedback and identify opportunities to improve the patient journey.

Clinic Growth & Business Development

- Support initiatives to increase awareness of Harmony's services within the Ottawa community.
- Build relationships with local healthcare providers, community organizations, and potential referral partners.
- Coordinate community events, workshops, and clinic outreach activities.
- Work with the clinic owner to implement marketing campaigns and promotional initiatives.
- Track patient inquiries, booking conversion, referral sources, and other operational performance indicators.
- Identify opportunities to improve service awareness, patient access, and sustainable clinic growth.
- Assist with launching new services, programs, and community partnerships.

What We're Looking For
- Previous experience in healthcare administration, clinic management,



or a similar customer-facing leadership role.
- Strong organizational, communication, and problem-solving skills.
- Comfortable managing both hands-on administrative tasks and larger operational projects.
- Experience with scheduling, billing, and practice-management software; Jane App experience is an asset.
- An understanding of patient experience, business operations, and service-based business growth.
- Confidence in building professional relationships and representing the clinic in the community.
- A proactive, accountable, and solution-oriented approach.
- Ability to work independently while collaborating with a multidisciplinary healthcare team.
- Experience with marketing, community outreach, or business development is an asset.
