About the Role
Our Markham law office is hiring a Family Law Coordinator on an initial six-month contract, with the possibility of extension or conversion to a permanent position for the right candidate.
This is a coordination role, not a general clerical one. You will own the operational spine of our family law files: making sure every task is scheduled, assigned, tracked and completed on time; that invoices go out accurately and on schedule; that court documents are filed correctly and before deadline; and that routine drafting is done well without needing to be re-done.
We are a small, fast-moving practice. The person in this seat has real ownership and visible impact. If you are the kind of person who builds systems, notices what is falling through the cracks before anyone asks, and genuinely enjoys making software do the work for you — you will do well here.
What You Will Do
Task coordination and scheduling (the core of the role)
● Break down each active family law matter into its required tasks, deadlines and dependencies
● Create, assign and track tasks in ClickUp; keep the board accurate and current
● Monitor limitation periods, court deadlines, service dates and follow-up dates; escalate early
● Run scheduling for court appearances, case conferences, motions, mediations and client meetings
● Follow up with lawyers, staff and clients to make sure assigned work actually gets done
Billing and file administration
● Prepare and issue client invoices in LEAP
● Maintain time entries, disbursements and file records accurately and on time
● Track outstanding accounts and support collections follow-up
Court filings
● Prepare and file court documents electronically and in person, in accordance with the Ontario Family Law Rules
● Work with Justice Services Online, CaseLines and the courts’ e-filing portals
● Assemble motion records, continuing record updates and related materials
Drafting
● Draft routine family law documents and correspondence: court forms, affidavits, notices, financial statement intake, client letters
● Prepare first drafts that require light review rather than rewriting
Client and court communication
● Communicate professionally and promptly with clients, court staff and opposing counsel
● Keep clients informed of scheduled steps and required documents
What We Are Actually Looking For
Read this section carefully — it is how we will make the decision.
The two qualifications that matter most are technical aptitude and organization. Software can be taught; we have trained people on LEAP and ClickUp before and we will do it again. What we cannot teach is the instinct to keep a system clean, to figure out an unfamiliar platform without hand-holding,
and to notice a missing deadline before it becomes a problem. A long resume does not compensate for the absence of those two traits.
Required
● Demonstrated ability to learn new software quickly and independently — you should be able to point to systems you taught yourself
● Strong organizational and follow-through skills; comfortable managing many concurrent deadlines
● Solid Microsoft Office skills (Word, Outlook, Excel), including formatting, styles and mail merge
● Clear, professional written English
● Legally entitled to work in Canada
● Able to attend our Markham office as required (hybrid)
Solid assets
● Experience with LEAP practice management and billing
● Experience with ClickUp, Asana, Monday, Trello or a comparable task management platform
● Prior experience in an Ontario family law or civil litigation practice
● Familiarity with the Ontario Family Law Rules, court filing requirements and e-filing systems
● Law Clerk or Legal Assistant diploma from an accredited institution
Not required
● A specific number of years in a law office. If you are organized, technically capable and a fast learner, we want to hear from you.
How to Apply
Please submit your resume along with a short note (a few sentences is fine) describing a system, tool or process you set up or taught yourself, and what problem it solved. Applications that address this will be reviewed first.
Pay: $36,000.00-$45,000.00 per year
