Hays has partnered with an established architecture and planning firm known for delivering innovative, practical design solutions across Alberta and British Columbia. The firm works across a diverse portfolio including multi-family, mixed-use, commercial, industrial, hospitality and community-focused projects. They are looking for a Proposal & Marketing Manager to take ownership of proposal development while supporting the firm’s broader marketing, brand and growth initiatives.

Responsibilities:

Proposal & Pursuit Management

- Lead the preparation and submission of proposals, RFQs, RFPs and interview presentations.
- Manage the full proposal process, including schedules, kick-off meetings, contributor input, reviews and final submission.
- Develop tailored proposal content, messaging, win themes and pursuit strategies.
- Write and edit compelling content that responds directly to client requirements.
- Coordinate project sheets, team resumes, graphics and supporting materials.
- Ensure submissions are polished, compliant, accurate and delivered on time.
- Maintain and continuously improve proposal templates and content libraries.
- Track proposal outcomes and support post-submission debriefs and lessons learned.

Marketing & Brand

- Develop and coordinate marketing collateral, project profiles, presentations and other promotional materials.
- Support award submissions, case studies and project photography.
- Maintain and develop website content and social media communications.
- Help ensure consistent messaging,



visual identity and brand standards across external communications.
- Support targeted marketing campaigns aligned with the firm’s strategic growth priorities.
- Work with technical teams to translate complex project information into transparent, engaging marketing content.

Market & Growth Support

- Monitor upcoming procurement and project opportunities.
- Support Principals with strategic pursuits, client presentations and industry initiatives.
- Maintain proposal, opportunity and marketing information.
- Monitor proposal success rates and other relevant marketing metrics.
- Provide market intelligence and reporting to leadership to support business planning.

Qualifications:

- Minimum of 5+ years' experience in proposals, marketing or a related position, ideally within AEC industry
- Strong experience managing complex RFP, RFQ and proposal submissions from start to finish.
- Ability to coordinate and gather information from Principals, designers and technical project teams.
- Exceptional technical and business writing skills, in addition to expertise in Adobe Cloud (InDesign, Illustrator and Photoshop).
- Strong track record in preparing proposals and award submissions, and excellent attention to detail and communication skills.
- A degree or diploma in Marketing, Communications, Business or a related discipline is preferred.
