Burnaby
Full time
18-Month Fixed-Term Contract

About the Role
Tumble City Athletics Inc., Home of WestCoast Sport Cheer, is looking for an exceptionally outgoing, intelligent, professional, energetic and hardworking individual to join our team.
This is a hands-on position combining customer service, sales, administration, recreational program support and daily facility operations.
We are looking for someone who is ready to learn, take initiative, solve problems and become an essential part of our organization, long-term.
This is NOT a sit-behind-the-desk job.
We need someone who can confidently welcome a new family, explain our programs, handle multiple administrative tasks, learn complex software, resolve customer concerns and then roll up their sleeves for a serious facility clean.
If you're naturally outgoing, quick-thinking, exceptionally organized and have a strong work ethic, we want to meet you.
We want someone who will blow us away with the tasks they accomplish, who is highly organized and can prioritize. Someone who will break a sweat with how hard they work, not who leaves us wondering what they have been doing all day.
Key Responsibilities
Customer Service, Sales & Registrations
- Welcome families and confidently engage with new and existing customers and children.
- Answer phone, email and in-person inquiries with friendly but professional manner.
- Explain our gymnastics, cheer, parkour and other programs like camps and parties.
- Recommend classes and convert inquiries and trials into registrations.
- Assist with accounts, registrations, withdrawals, transfers and program changes.
- Resolve customer concerns professionally and follow company policies.
- Promote additional programs, camps, private lessons and events.
Administration & Office Operations
- Maintain customer accounts, records and registration information.
- Assist with billing, payments, credits, refunds and basic bookkeeping procedures.
- Coordinate trials, assessments, private lessons and waitlists.
- Prepare and send customer communications and notices.
- Create basic graphics (ChatGPT), newsletters and update our website using Canva, Wix and other platforms.
- Support class schedules, staff scheduling and coverage administration.
- Organize documents, spreadsheets and digital systems.
- Monitor administrative deadlines and follow up on outstanding tasks.
- Assist with staff onboarding records and operational documentation.
- Support administrative operations for both Burnaby and Courtenay.
- Complete assigned projects and help improve office procedures.
Recreation & Facility Operations
- Support coaches and management with daily programming.
- Help coordinate assessments, camps, competitions, parties and special events.
- Assist with athlete flow, class transitions and parent communications.
- Monitor facility presentation and maintain an organized front desk.
- Complete opening and closing procedures.
- Travel between our Edmonds and Imperial facilities when needed.
Cleaning, Maintenance & POWER CLEANING Cleaning is a regular and essential responsibility of this position.
- Clean and sanitize bathrooms, lobbies,
entrances and shared spaces.
- Sweep, vacuum, mop, scrub and maintain floors.
- Participate in intensive cleaning and facility reset projects.
- Clean equipment, walls, cubbies, storage areas and high-touch surfaces.
- Move and organize supplies and lightweight equipment safely.
- Identify cleaning and maintenance needs without waiting for instructions.
- Take pride in keeping both facilities exceptionally clean and organized.
We need someone who is just as willing to scrub a bathroom as they are to complete an administrative project.
