About Us

Air Notions Inc. is a growing Canadian manufacturer of custom air handling units (AHUs) and make-up air units (MUAs) for commercial and industrial applications across Canada and the United States.

We specialize in designing and manufacturing custom-engineered HVAC equipment, with each project requiring different components, specifications, and purchasing requirements.

Position Overview

We are seeking a motivated, analytical, and technically inclined Technical Buyer to take ownership of our purchasing operations and help improve our purchasing and inventory processes.

This is not simply a purchase order processing position. We are looking for someone who enjoys solving problems, learning technical concepts, working with suppliers, and finding smarter, more efficient ways to get things done.

The successful candidate will review engineering submittals, drawings, and project specifications to identify required components, obtain supplier quotations, place orders, and ensure materials arrive on time for production.

An important part of this role will also involve improving our purchasing and inventory systems through the effective use of software, spreadsheets, automation, and modern technology.

Previous HVAC experience is an asset but not required. We are willing to train someone who demonstrates strong technical aptitude, excellent computer skills, initiative, and a willingness to learn.

We welcome applications from both experienced purchasing professionals and promising early-career candidates with relevant education and capabilities.

Key Responsibilities

Purchasing & Material Planning

- Review approved engineering submittals, drawings, and project specifications to identify required components and materials.
- Determine purchasing requirements for custom manufacturing projects, including quantities, specifications, and required delivery dates.
- Request and evaluate supplier quotations, considering pricing, lead times, quality, availability, and overall value.
- Purchase HVAC, mechanical, electrical, and manufacturing components.
- Prepare and issue accurate purchase orders.
- Monitor open purchase orders, supplier confirmations, and expected delivery dates.
- Plan and coordinate material requirements across multiple production jobs.
- Proactively identify material shortages, supplier delays, and other purchasing risks before they affect production.

- Identify alternative suppliers and cost-saving purchasing opportunities.
- Negotiate pricing and maintain strong supplier relationships.
- Maintain accurate purchasing records and documentation.

Inventory Management

- Maintain accurate inventory and material tracking records.
- Monitor stock levels and coordinate replenishment of commonly used components.

- Help establish appropriate minimum and maximum inventory levels.
- Coordinate with receiving and production personnel to ensure materials are properly received, identified, and allocated.
- Maintain organized supplier, part number, pricing, and product information.
- Identify opportunities to reduce excess inventory, duplicate purchases, and material shortages.
- Support improvements to inventory accuracy and material availability.

Systems, Technology & Process Improvement

- Help implement, manage, and continuously improve our purchasing and inventory management software.
- Develop practical and efficient workflows for purchasing, receiving, and inventory tracking.
- Identify repetitive administrative tasks that can be simplified, streamlined, or automated.
- Use Microsoft Excel, data analysis, AI tools, and other technologies to improve efficiency and accuracy.
- Help establish consistent processes for organizing purchasing information, supplier data, and material requirements.
- Develop reports and tracking tools to improve visibility into purchasing activity, material availability, and supplier performance.
- Work with management to continuously improve purchasing and inventory processes as the company grows.

Qualifications

- Excellent computer proficiency, particularly Microsoft Excel and business software.

- Strong communication skills and confidence working directly with suppliers.
- Ability to work independently, take initiative, and follow through on responsibilities.
- Strong willingness to learn new products, systems, and technical concepts.

- Familiarity with automation tools, AI-assisted workflows, or other business productivity technologies.
