Programs administration coordinator role.

About the opportunity
Why this role matters
Recycle BC collects over 200,000 tonnes of household packaging and paper a year and serves more than two million households, over 99% of British Columbia. SK Recycles runs the same kind of program across Saskatchewan. Behind both programs is a large network of service providers: processors, receiving facilities, haulers and logistics partners who keep materials moving from collection through to end markets.
Recycle BC is taking on more of the post-collection work directly, and that means more agreements, more providers and more detail to keep right. As Coordinator, you will be a key part of the Programs Administration team that keeps all of it organized, accurate and up to date: contracts, onboarding, rates, payments and the required documentation.
This is hands‑on contract administration and coordination, not contract drafting or complex negotiation. If you are organized, careful and good with detail, and you enjoy working with people inside the organization and across a network of providers, this role is for you.
You can be based in Greater Vancouver or Saskatoon, and you will support both programs.
What you will do:
Service-provider onboarding and contracts
- Manage the administrative processes for onboarding and maintaining post-collection service providers, including processors, receiving facilities, transporters and logistics partners, and other contracted service providers. Collect the information and forms required.
- Coordinate contract setup and changes, including amendments and rate changes, and liaise with service providers and internal teams to make sure required documentation, approvals and procedures are completed. Work with the Director, Governance, Procurement and Risk on amendments, rate changes and other updates.
- Support the administration and ongoing maintenance of post-collection contracts, service provider accounts, rate and payment information and related master data, so information stays complete, accurate and aligned with operational requirements. Handle routine changes such as contact, address, mailing or banking information, following established controls, and keep contract records accurate.
- Track annual contract triggers such as CPI adjustments and rate changes, and monitor certificates of insurance and follow up on expiries.
- Monitor administrative and service‑level requirements under post-collection agreements, and follow up on outstanding reporting, documentation, deliverables and other contractual requirements.
Payments, reporting and data
- Coordinate post-collection service provider payment adjustments and help resolve payment issues and concerns with Finance, Circular Materials' Service Provider Reporting (SPR) team, post-collection teams and service providers. Escalate payment delays or recurring issues as appropriate.
- Work closely with the SPR team and post-collection stakeholders to identify, investigate and help resolve reporting, master data and transactional issues, including discrepancies affecting logistics, service provider reporting and payments.
Coordinate with SPR when an update needs a ticket or system change.
- Support the oversight and validation of post-collection material flow, from collection through receiving facilities, processing and end markets, working with internal teams and service providers to investigate exceptions, gaps or inconsistencies and support accurate program reporting.
- Compile, analyze and maintain post-collection data, metrics, reports and scorecards, and help develop and maintain analytical tools, dashboards and other reporting resources for internal and external stakeholders.
Communication and coordination
- Coordinate communications with post-collection service providers: maintain provider and facility contact information, respond to routine inquiries, distribute notices and updates, and coordinate follow-up across internal teams.
- Collaborate across Finance, Governance and Procurement, Programs Data, Material Services, Circular Materials and other teams to gather information, research, resolve issues and support program objectives.
- Provide administrative support to collection‑related activities as required, including service provider onboarding, contract changes, reporting, payment adjustments and other cross-program initiatives.
Projects and process improvement
- Take part in post-collection projects, transitions, operational changes and pilots, helping with project coordination, implementation, work plans, timelines, issue tracking, documentation and summary reporting.
- Create, document and maintain standardized procedures, process maps and administrative controls for post-collection activities, and look for ways to make program processes more productive, consistent and accurate.
Who you are:
You are organized, accurate and comfortable managing many details across a large contract portfolio. Your background might be in contract administration or vendor management, procurement coordination or service‑provider administration, or logistics, transportation, hauling or supply chain.
You may have maintained vendor records, onboarding documentation, insurance certificates or rate schedules, and worked with internal teams and external service providers to resolve routine issues.
What you bring:
- At least 3 to 5 years of experience in administration, procurement, post‑collection operations, supply chain, logistics, waste management, recycling operations or a related field.
- Proficiency in the Microsoft Office Suite, specifically Excel, Word and Power Point.
- Strong analytical and problem‑solving skills, with the ability to review operational and reporting information, investigate discrepancies, and provide clear summaries and recommendations.
- The ability to work independently, prioritize tasks and stay self‑motivated.
- Excellent verbal and written communication skills, including clear and concise administrative and technical reports.
- Excellent interpersonal skills and the ability to build strong relationships.
- Strong organizational skills and attention to detail, with the ability to create and implement project plans.
Assets:
- Proficiency with CRM software (D365), CLM software (Agiloft), SAP systems and data visualization tools such as Power BI.
- Post‑secondary education in business operations and administration, supply chain, environmental studies or sustainability. This is beneficial but not required.
- Knowledge of recycling and post‑collection operations, including material movement, receiving facilities, processing, end markets, supply chain or logistics.
How you will work:
- Location: Based in Greater Vancouver or Saskatoon.
- Hybrid: One day a week in the office.
- Hours: Full‑time, 40 hours a week scheduled (not less than 37.5), covering core hours of 9:00 AM to 3:00 PM local time. Peak periods such as quarter reporting, business planning and budgeting, and year‑end inventory counts may need extended hours.
- Travel: Occasional travel.
Compensation and benefits:
- Base salary of $63,000 to $72,000.
- Annual bonus.
- A very strong benefits package.
About Recycle BC and SK Recycles
Recycle BC is a not-for-profit responsible for residential packaging and paper product recycling across British Columbia. Through curbside, multi‑family and depot services, it reaches over two million households, over 99% of the province. Over 195 communities take part, and over 200,000 tonnes of material are collected from households and depots every year.
Recycle BC works directly with communities and in partnership with local governments, First Nations, private companies and other not‑for‑profit organizations. The program is funded by the manufacturers, brand owners and retailers that supply packaging and paper products to BC residents.
SK Recycles is Saskatchewan's provincial recycling program for household packaging and paper. It works with producers, local governments, First Nations, Métis communities, private companies, other organizations and residents to manage a province‑wide system, funded by producers.
It grew out of Multi‑Material Stewardship Western, which launched its recycling program in Saskatchewan in January 2016.

Why this could be your next move
You have spent years keeping the details right, and you know how much depends on it. This role puts that care to work in a key position: keeping a growing portfolio of service‑provider contracts organized, accurate and current, and helping two provincial programs run smoothly.
You will work with colleagues across finance, procurement, data and operations, and with the providers who do the work every day.
You can be based in Greater Vancouver or Saskatoon. For an organized, detail‑minded professional who wants a key role in an organization with a clear public purpose, this is a conversation worth having.
