About the Opportunity

We are seeking a motivated and enthusiastic individual to join our Service Team, to start as soon as possible. Based out of our St. Mary’s location and reporting to the Director Service Administration and Operations, this role plays a key role in the daily coordination and administration of service operations. Working closely with the Service Manager, Shop Foreman, and Warehouse team, this position ensures service orders are processed efficiently, technicians have work ready, and customers receive timely communication regarding service work.

This role is ideal for someone who is organized, detail oriented, and enjoys working in a fast-paced service environment.

Responsibilities include :

- Enter and manage service orders and ensure accurate workflow tracking.
- Coordinate with the Shop Foreman to prioritize and schedule service work.
- Process and invoice service transactions, including warranty, internal repairs, and billable service work.
- Order and source parts required for service jobs, including coordinating with other branches when required.
- Work with the Shipper/Receiver and Parts Counter to ensure parts are staged for technicians.
- Maintain accurate production reporting and participate in service priority meetings.
- Communicate with customers regarding service estimates, approvals, billing, and equipment pickup or delivery.
- Maintain accurate records, documentation, and service files.
- Support inventory counts and operational reporting.
- Provide backup support to freight, counter, or sales operations when required.

- Ability to communicate (verbally and in writing) effectively and professionally with all levels of internal and external business contacts
- Excellent organization skills; able to prioritize and manage time effectively
- Strong attention to detail and accuracy with the ability to work well with mínimal supervision
- Confidence, patience, politeness, tact and diplomacy
- An ability to work well under pressure
- Team player with strong interpersonal skills and an expressed desire to learn

Qualifications :

- Post-Secondary Education
- 2-3 years of administrative experience, preferably in a service or operations environment.
- Proficient in the use of Microsoft Outlook, Word and Excel
- Experience with a ERP system is considered and asset.
