Job Summary:

At SWS, were looking for an Accounts Payable Clerk who brings more to the table than number-crunching. We want someone who takes ownership, solves problems, and understands that even the smallest details can make a BIG difference.

This isnt just about paying bills. Its about keeping promises, building trust, and helping our business move forward.

And the best part? This is a part-time opportunity with a minimum of 20 hours per week where your contribution truly matters.

Your Mission: Keep the Numbers Right and the Relationships Strong.

Youre the behind-the-scenes force that keeps our accounts payable running smoothly.

From processing invoices and reconciling statements, building and maintaining strong relationships with vendors, to managing payments and solving discrepancies, your accuracy keeps things moving. Your communication builds confidence. Your reliability strengthens relationships with suppliers and teammates alike.

At SWS, our core values of Collaboration, Accountability, and Growth arent just words on a wall. Theyre how we work, and were looking for someone who lives them.

Were Looking for Someone Who Is:

  • Detail-Obsessed: You catch the little things before they become big problems. Accuracy is your superpower.
  • Accountable: You own your work, meet your deadlines, and follow through. No chasing required.
  • A Natural Problem-Solver: When numbers dont add up, you dig deeper, ask questions, and find answers.
  • People-First: You understand that accounts payable isnt just about transactions. Its about relationships, respect, and communication.
  • Organized & Efficient: You know how to prioritize, manage your time, and keep things moving, even with a part-time schedule.
  • Trustworthy & Discreet: Confidentiality isnt optional.

You handle sensitive information with care and professionalism.
  • Respectful but Assertive: You treat everyone with professionalism and respect, but youre not afraid to speak up, ask tough questions, or push back when something doesnt seem right. You know how to stand your ground, hold yourself and others accountable, and navigate difficult conversations without compromising relationships.
  • Growth-Minded: Youre open to feedback, eager to learn, and always looking for smarter ways to get things done.

What We Are NOT Looking For:

  • Not Just a Data Entry Operator: If your idea of accounts payable is entering numbers without questioning what doesnt make sense, this isnt the role for you. We value curiosity, accuracy, and critical thinking.
  • Not a "That’s Not My Problem" Attitude: We work as a team. When something needs attention, we communicate, collaborate, and help find a solution.
  • Not Someone Who Needs Constant Follow-Up: We believe in ownership. If you say youll do something, we trust youll get it done.
  • Not Someone Who Lets Things Slide: Missing invoices, payment discrepancies, and unanswered supplier questions dont magically resolve themselves. We need someone who follows through.
  • Not Someone Who Avoids Difficult Conversations: We need someone who can confidently question discrepancies, challenge decisions when necessary, and hold both teammates and suppliers accountable while maintaining positive, professional relationships.
  • Not Resistant to Change: Theres always room to improve. If you believe theres only one way to do things, we probably wont be the right fit.

What Youll Actually Do:

  • Own the Details: Review, verify, and process invoices with precision. Match purchase orders, receipts, and invoices, making sure everything adds up.
  • Keep Payments Moving: Prepare and process supplier payments accurately, on time,

and in line with company procedures.
  • Keep Expenses Accountable: Review team members expense reports, match transactions and receipts against monthly company credit card statements, and follow up on missing receipts or discrepancies. Ensure expenses are accurate, properly documented, and accounted for.
  • Be a Financial Detective: Investigate discrepancies, reconcile supplier statements, and resolve payment questions before they become bigger issues.
  • Build Strong Relationships: Communicate with suppliers and internal teams with professionalism, respect, and a people-first mindset.
  • Keep Everything Organized: Maintain accurate financial records, payment documentation, and ERP transactions so information is reliable and easy to access.
  • Support the Bigger Picture: Assist with month‑end activities, credit card reconciliations, expense processing, financial reporting, and audit preparation.
  • Protect What Matters: Handle confidential information responsibly while following financial policies, approval processes, and applicable tax requirements.
  • Make Good Processes Better: Spot inefficiencies, challenge outdated practices constructively, and bring forward ideas that make our work simpler, smarter, and more accurate.
  • Own It: Take responsibility for your work, communicate when you need support, and consistently strive for excellence.

What You Bring to the Table:

  • 1–2 years of experience in accounts payable, bookkeeping, or a related role.
  • Post‑secondary education in Accounting, Business Administration, or a related field or equivalent practical experience.
  • A solid understanding of invoices, payments, reconciliations, and basic accounting principles.
  • Confidence using Microsoft Office, particularly Excel, and familiarity with ERP systems.
  • Strong numerical accuracy, organization, and the ability to manage deadlines independently.
  • Explicit, respectful communication and a team‑first approach.
  • Familiarity with Canadian HST/GST requirements is an asset.

Most importantly? You bring the right attitude. Skills matter, but so do curiosity, accountability
