Job Overview
We are seeking a detail-oriented Fleet Administration Coordinator to support fleet maintenance, vehicle administration, reporting, and day-to-day fleet operations. The role involves coordinating with drivers, internal teams, and external service providers to ensure timely maintenance and accurate fleet records.
Key Responsibilities
- Generate and analyze preventive maintenance reports and communicate maintenance requirements to drivers, garages, service providers, and management.
- Follow up on overdue inspections and critical maintenance requirements.
- Coordinate vehicle licensing, insurance renewals, invoices, and vehicle additions or deletions.
- Respond to and resolve fleet-related inquiries and issues.
- Maintain accurate electronic and physical fleet records.
- Prepare fleet data and reports for internal teams and management.
- Respond to fleet support phone calls and emails.
- Provide administrative and clerical support to the Fleet Supervisor.
Qualifications
- Minimum secondary school education or equivalent.
- Proficiency in a computerized work environment, with experience or the ability to learn Excel, SAP,
and Element Interactive.
- Typing speed of at least 40 words per minute net.
- Excellent verbal and written communication skills.
- Ability to interpret company policies and procedures.
- Robust organizational skills and attention to detail.
- Ability to work collaboratively and responsibly under direct and indirect supervision.
