Accounting Coordinator / Full-Cycle Bookkeeper
Full-Time | In-Office | Sherwood Park, Alberta
About Us
We're looking for a highly organized, detail-oriented individual who loves numbers, takes ownership of their work, and enjoys keeping things running smoothly.
This is a unique opportunity to work with two locally owned businesses operating out of the same location in Sherwood Park.
The Promo Addict is a marketing-first promotional products company helping businesses build stronger brands through creative, memorable merchandise.
You Need A BBQ is our retail BBQ store, helping customers take their grilling and outdoor cooking to the next level.
We're looking for someone who can manage the day-to-day accounting needs of both businesses while also supporting administrative processes, communicating with customers and vendors, and helping us continually improve how we operate.
About the Role
As our Accounting Coordinator / Full-Cycle Bookkeeper, you'll be responsible for keeping our financial records accurate, organized, and up to date.
This is a hands-on role that combines bookkeeping, accounts receivable, accounts payable, reconciliations, vendor management, and general accounting administration.
We're looking for someone who is proactive, comfortable following up with people, confident asking questions, and able to independently manage competing priorities.
What You'll Do
Accounts Receivable (AR)
- Manage and monitor the accounts receivable email inbox, responding to customer inquiries and directing requests as needed.
- Track outstanding customer invoices and proactively follow up on overdue accounts.
- Investigate and resolve payment discrepancies, short payments, credits, and account issues.
- Record and apply customer payments accurately.
- Prepare and review AR aging reports, identifying overdue accounts and escalating collection concerns.
- Communicate professionally with customers regarding payment status, outstanding balances, and account inquiries.
- Maintain accurate customer account records and payment information.
Accounts Payable (AP) & Vendor Management
- Process vendor invoices, credit notes, and payments accurately and on time.
- Match vendor invoices to purchase orders and investigate discrepancies.
- Monitor outstanding vendor balances and payment due dates.
- Reconcile vendor statements and resolve missing invoices, credits, and payment discrepancies.
- Communicate directly with vendors to resolve billing issues, request credits, and follow up on outstanding items.
- Negotiate payment terms and identify opportunities to improve cash flow and vendor relationships, within company guidelines.
- Prepare and coordinate EFT payments and other payment methods for approval.
- Maintain organized vendor records and ensure accurate documentation.
Bookkeeping & Reconciliations
- Maintain accurate financial records for both businesses using QuickBooks Online.
- Reconcile bank accounts, credit cards, payment processors, and other financial accounts.
- Record and categorize financial transactions.
- Review and reconcile accounts receivable and accounts payable balances.
- Prepare journal entries and assist with month-end and year-end closing processes.
- Review transactions for accuracy and investigate discrepancies.
- Maintain accurate records of prepaid expenses, accruals, and other balance sheet accounts as required.
- Assist with inventory-related accounting and reconciliations.
- Prepare financial reports and supporting schedules for management and external accountants.
Accounting Administration & Operational Support
- Manage accounting-related emails, inquiries, and follow-ups.
- Communicate with customers, vendors, and internal team members to resolve outstanding issues.
- Maintain organized digital filing systems and financial records.
- Follow up on missing invoices, receipts, statements, approvals, and documentation.
- Assist with setting up and maintaining customer and vendor accounts.
- Identify opportunities to improve accounting processes, internal controls, and administrative efficiency.
- Help ensure deadlines, payments, and financial obligations are consistently met.
- Provide general administrative support related to accounting and business operations.
What We're Looking For
- Minimum 3 years of bookkeeping or accounting experience, ideally in a full-cycle role.
- Post-secondary education in accounting, bookkeeping, or a related field is preferred.
- Experience with QuickBooks Online is required.
- Strong understanding of accounts receivable, accounts payable, reconciliations, and general bookkeeping.
- Experience managing customer collections and communicating with vendors.
- Strong organizational skills and the ability to manage multiple priorities and deadlines.
- Excellent written and verbal communication skills.
- Comfortable following up with customers, vendors, and team members to get things done.
- Solid attention to detail and ability to identify and resolve discrepancies.
- Ability to work independently, take initiative, and follow through on responsibilities.
- High level of professionalism, discretion, and confidentiality.
- Proficiency with Microsoft Excel, Outlook, and other Microsoft 365 applications.
Nice to Have
- Experience with inventory-based or retail businesses.
- Experience with e-commerce transactions and payment processors.
- Familiarity with Shopify, WooCommerce, or commonsku.
- Experience working with multiple companies or business entities.
What Makes Someone Successful in This Role We're looking for more than someone who can enter invoices and reconcile accounts.
The right person will take ownership of the accounting function, stay on top of outstanding items, and proactively communicate when something needs attention.
You'll be someone who notices when something doesn't look right, follows up without being asked, and enjoys finding ways to make processes more efficient.
You understand that accurate bookkeeping is important, but so are strong relationships, clear communication, and keeping things moving.
Why Join Us?
At The Promo Addict and You Need A BBQ, we're a team of people who care about the work we do and the businesses we're building.
You'll have the opportunity to work across two different businesses, take ownership of your responsibilities, and make a meaningful contribution to our day-to-day operations.
