Wilson Chevrolet Buick GMC is looking for a motivated, organized, and customer-focused BDC / Warranty Clerk to join our team! This dual role combines Business Development Coordinator (BDC) responsibilities with warranty administration, supporting our Service Department in delivering exceptional customer service and maintaining accurate warranty records.

The ideal candidate is detail-oriented, enjoys working with people, and can effectively manage multiple responsibilities in a fast-paced dealership environment.

Key Responsibilities

Business Development Coordinator (BDC)

- Handle incoming and outgoing customer calls, emails, and online inquiries in a skilled and timely manner.
- Schedule, confirm, and follow up on service appointments.
- Contact customers regarding upcoming maintenance, service reminders, recalls, and follow-up opportunities.
- Maintain accurate customer information and communication records within dealership systems.
- Assist with customer retention initiatives and dealership promotions.
- Work closely with the Service and Sales Departments to ensure a positive customer experience.
- Respond to customer inquiries and direct concerns to the appropriate department.
- Support dealership customer satisfaction goals through proactive communication and follow-up.

Warranty Administration

- Prepare, process, and submit manufacturer warranty claims accurately and within required timelines.
- Review repair orders and supporting documentation to ensure warranty claim requirements are met.
- Verify warranty coverage and ensure claims comply with manufacturer policies and procedures.




- Monitor outstanding warranty claims and follow up on pending, rejected, or adjusted submissions.
- Maintain organized and accurate warranty records and supporting documentation.
- Work closely with Service Advisors, Technicians, and management to resolve warranty-related discrepancies.
- Assist with warranty audits and documentation requests as required.

Qualifications & Skills

- Excellent communication and customer service skills.
- Strong organizational skills with exceptional attention to detail.
- Ability to multitask, prioritize responsibilities, and meet deadlines.
- Proficient in Microsoft Office and comfortable learning dealership software systems.
- Ability to work independently while contributing to a team environment.
- Strong problem-solving skills and a positive, professional attitude.
- Previous experience in customer service, administration, or an automotive dealership is considered an asset.
- Previous BDC or automotive warranty administration experience is an asset, but training will be provided.
- Knowledge of dealership management systems and manufacturer warranty procedures is an asset.
