About ACETECH

At ACETECH, we develop technology that helps emergency services operate safely, reliably and efficiently. Our fleet software, in-vehicle technology, asset tracking and monitoring solutions help keep emergency vehicles and equipment available when lives depend on them—so our customers can reach more people who need urgent care.

The opportunity

We are looking for an organised, detail-oriented Business Operations & Finance Administrator to support the day-to-day running of our Canadian business.

You will coordinate commercial and financial administration, from preparing quotes and processing orders to issuing invoices, following up on payments and maintaining accurate customer and subscription records.

Working closely with colleagues in Canada and our Finance team at headquarters in Ireland, you will help ensure that transactions are processed accurately, records are up to date and activities follow ACETECH’s established policies and procedures.

This is a hands-on role for someone who enjoys keeping things organised, resolving day-to-day queries and following work through to completion. You will use your initiative within agreed processes, recognise when guidance or approval is needed, and contribute practical suggestions for improvement.

What you will do

Commercial and order administration

- Prepare and process customer quotes using approved pricing and authorisation procedures.
- Enter and maintain customer orders, checking that information is complete and accurate.
- Coordinate with Sales and Operations to ensure a smooth handover from quotation through to invoicing.
- Maintain customer details, purchase orders and supporting documentation in the relevant systems.

- Follow up on missing information and resolve routine order or billing queries with colleagues and customers.

Finance administration

- Prepare and issue accurate customer invoices in line with agreed procedures.
- Monitor outstanding invoices, send payment reminders and follow up with customers.
- Maintain accounts receivable records and refer overdue balances or disputed invoices to the Finance team as appropriate.
- Support the Finance team with invoice queries, payment information and supporting documentation.
- Prepare routine reports on invoicing, outstanding balances and related activity.
- Follow established financial controls, approval requirements and record-keeping procedures.

Subscription and systems administration

- Maintain software subscription records, including customer details, billing information, renewals and approved changes.
- Keep CRM, ERP and financial-system records accurate and up to date.
- Support the introduction of new systems through data preparation, checking, testing and day-to-day use.
- Help maintain organised customer agreements and contract records.
- Identify data discrepancies and work with the relevant colleagues to resolve them.

Coordination and process support

- Work closely with the Canadian team on day-to-day priorities and with Finance at headquarters on financial administration and reporting.
- Follow documented workflows and help keep local process instructions current.

- Identify recurring queries, delays or errors and suggest practical improvements.
- Provide general business administration support to help the Canadian operation run effectively.

What you will bring

- Experience in finance administration, accounts receivable, sales administration, order processing or a similar business-support role.
- Hands-on experience with invoicing, customer accounts, quotations or order-to-cash activities.
- Confidence using CRM, ERP, accounting or other business systems.
- Strong Excel skills and a careful approach to checking and maintaining data.
- Good organisation and the ability to manage several tasks and deadlines.
- Clear, skilled communication when dealing with customers and colleagues.
- The initiative to resolve routine issues and the judgement to seek guidance when needed.
- A collaborative approach and willingness to support a growing team.

Experience with software subscription billing, customer contract administration or supporting a systems transition would be an advantage. Why join ACETECH?

You will join a growing Canadian operation where your work will make a visible difference to the accuracy and reliability of day-to-day business activities. Working with colleagues in Canada and Ireland, you will gain exposure to commercial operations, finance administration and business systems while supporting technology used by emergency services.

Location and planned move The role is currently based at Unit 2, 2715 Bristol Circle, Oakville, ON L6H 6X5. We expect to relocate to a new facility within a reasonable commuting distance of our current premises in 2027. The new location will be confirmed once arrangements are finalised.
