THE ROLE
FORM Face + Body is a multidisciplinary medical campus spanning plastic surgery, medical aesthetics, health and longevity, men's and women's health, and hair restoration. We are seeking a Registered Practical Nurse to join our growing team.
The person who takes a patient's first call is often the person who prepares them for treatment and follows up afterward. That continuity is deliberate. It removes the point at which patients are most often lost, and gives every patient a consistent point of contact across their care.
The ideal candidate is an excellent communicator and listener who adapts readily in a fast paced environment with multiple providers and overlapping schedules. You will engage with patients in person, virtually and by telephone, developing an understanding of their goals pre- and post-operatively, recommending appropriate treatments and care pathways, coordinating appointments and consultations, and managing incoming referrals.
CLINICAL NURSING AND PATIENT CARE
- Provide clinical nursing care to patients pre-operatively and post-operatively, within the scope of practice of a Registered Practical Nurse in Ontario.
- Prepare patients for visits and treatments: pre- and post-procedure instructions, clinical photography, consent documentation and treatment room setup.
- Assist providers during treatments and minor procedures, anticipating requirements and maintaining a sterile field where applicable.
- Document accurately in NexTech, updating patient profiles before and after each procedure, and ensuring charts carry correct treatment protocol, signed consents and completed billing detail.
- Create and maintain patient files with complete demographic, insurance and contact information.
- Receive and process incoming physician referrals, entering them promptly and routing each to the correct provider based on clinical indication and availability.
- Conduct post-procedure follow-up calls to every patient, documenting the outcome of each contact.
- Triage clinical concerns raised by patients in person, by telephone and by email, escalating urgent matters to the appropriate provider immediately.
- Maintain a high standard of clinic cleanliness. Clean and disinfect all work surfaces and equipment in accordance with infection prevention and control, and manufacturer guidelines.
- Keep treatment rooms, reception and staff areas presentable and prepared throughout the day, with supplies, brochures and clinic requirements stocked.
- Monitor stock levels of clinical supplies and retail product, record usage, ensure correct storage, and compile order lists for the Business Manager.
PATIENT EXPERIENCE AND PRACTICE GROWTH
- Answer all incoming lines promptly and professionally. No call should go unanswered during clinic hours, and voicemail is a last resort rather than a default.
- Return all voicemails and missed calls within two hours, documenting every attempt. Clear all voicemail before leaving for the day.
- Greet patients on arrival with professionalism and warmth. Confirm the appointment, verify that forms are complete, offer refreshment, and escort patients to the treatment area.
- Deliver exceptional patient care and build professional rapport, so that patients are confident in their treatment and satisfied with their outcome.
- Recommend appropriate treatment plans, home care products, packages and memberships where clinically suitable, supporting both patient outcomes and clinic growth.
- Contact existing, new and prospective patients regarding appointments, services, products, promotions and post-procedure follow-up.
- Process payments and check-out, produce receipts, close out payment terminals, and support retail skincare purchases at the beauty bar.
- Set priorities and develop, implement and evaluate care plans in collaboration with the clinical team.
- Maintain strict confidentiality at all times. All patient information is governed by the Personal Health Information Protection Act.
