Full-time In-office

About Budget Electrical

Budget Electrical is a fast-moving service and projects contractor supporting high-rise, commercial, and residential clients across the Greater Toronto Area. We run 24/7 emergency service and pride ourselves on responsive communication, clean paperwork, and professional execution.

The Role

We’re hiring an Office Manager to be the operational hub of our office. You’ll manage phones, scheduling, and dispatch; keep files and records tight; support quoting/invoicing and light bookkeeping; and make sure office workflows run smoothly end-to-end. If you’ve kept a trades service office humming (electrical, plumbing, HVAC, etc.), you’ll feel right at home.

What You’ll Do

Scheduling, Dispatch & Customer Service

- Answer and route inbound calls & emails; triage service requests; create work orders. Schedule and dispatch technicians for service calls, maintenance, and projects; optimize routes and priorities.
- Monitor jobs in progress; keep clients updated on ETAs, access, and follow-ups. Coordinate after-hours call handling/phone handoff for 24/7 emergencies.

Administration & Records

- Maintain digital and physical filing: work orders, POs, quotes, invoices, permits, safety docs, and client folders.
- Track timecards, daily logs, and job notes; chase missing info.
- Manage office supplies, vendor onboarding, certificates of insurance, and compliance paperwork.

Quoting, Invoicing & Bookkeeping (light)

- Draft and format quotes/estimates from tech notes and scopes.
- Prepare and send invoices with supporting photos, signatures, and time/material breakdowns.
- Enter bills/receipts, match POs, and reconcile job costs with guidance from accounting.
- Assist with payroll prep (collect and validate hours, allowances, mileage) and submit to payroll provider.

Operational Support

- Create basic reports (open work orders, aged receivables, job status).
- Maintain client/asset lists and service schedules (PMs, inspections, annual tests).
- Coordinate site access (keys/fobs),

parking, permits, and deliveries.

What You Bring

- 2+ years in an office coordinator/manager, dispatcher, or service admin role (trades or facilities preferred).
- Confident with multi-line phones, professional email etiquette, and calm customer handling.
- Strong scheduling/dispatch chops and attention to detail in a fast, changing queue.
- Comfortable with office software (G Suite or Microsoft 365), spreadsheets, and a service/dispatch platform (Jobber, ServiceTitan, Service Fusion, FieldEdge, etc.).
- Basic bookkeeping familiarity (QuickBooks Online/Xero or similar) and payroll prep exposure (ADP, Ceridian, etc.).
- Excellent organization, deadline follow-through, and written/verbal communication.
- Able to safeguard sensitive info and follow standardized procedures.

Nice-to-Haves

- Experience in electrical or building trades service office.
- Knowledge of WSIB, COIs, permits, basic safety paperwork.
- Comfort working with photos, PDFs, and job documentation for client submission.

Success Looks Like

- Zero missed/abandoned calls during business hours and timely after-hours handoff.
- Technicians dispatched on time with transparent notes, access details, and materials/POs.
- Clean paperwork: quotes out within 24–48 hours, invoices out within 48 hours of job completion.
- Accurate payroll packages and reconciled receipts each pay period.
- Organized, searchable digital files—any document in two clicks.

Schedule & Compensation

- Full-time, in-office (Toronto/GTA).
- Monday–Friday daytime, with occasional support for after-hours phone routing (rotational/handoff).
- Compensation: competitive, based on experience; benefits and growth opportunities discussed in interview.
