About TN Real Estate Group
TN Real Estate Group is a growing real estate brokerage based in downtown Kitchener, Ontario. We're looking for an experienced Executive Assistant & Office Operations professional to work directly alongside our Founder and Broker, Thien Nguyen, and help keep our business organized, responsive and moving forward.
This is not a traditional administrative position.
We're looking for someone who can become the organizational backbone of our office — someone who supports Thien directly, keeps track of what needs to happen, coordinates the moving pieces around the business and makes sure important details don't fall through the cracks.
On any given day, that could mean managing a constantly changing calendar, coordinating a new listing, communicating with a lawyer about a closing, organizing photographers and contractors, preparing documents, following up with a client, coordinating an event or reminding Thien about something he agreed to three weeks ago.
The right person will genuinely enjoy creating order from chaos.
This is a high-trust position requiring exceptional judgment, discretion, organization and follow-through. We're not looking for someone who simply waits for a list of tasks. We're looking for someone who takes ownership, anticipates what needs to happen and follows things through to completion.
Key ResponsibilitiesExecutive Support
- Manage Thien's professional calendar, appointments, meetings, priorities and follow-ups.
- Help protect his time and ensure important commitments and deadlines aren't missed.
- Prepare information and coordinate logistics for meetings, appointments and client matters.
- Track outstanding items and proactively remind Thien of commitments requiring his attention.
- Handle confidential business, client and personal information with discretion.
Office & Business Operations
- Coordinate day-to-day office operations and ensure the office runs smoothly.
- Maintain organized records, databases, files and administrative systems.
- Coordinate office supplies, vendors, service providers and other operational needs.
- Help develop and improve processes to increase efficiency and consistency.
- Coordinate internal meetings, company events and office initiatives.
- Serve as a reliable point of contact for the team when information or administrative support is needed.
Real Estate & Transaction Support
- Support the administrative coordination of listings and transactions, particularly those involving Thien.
- Coordinate listing preparation, documentation, photographers, stagers, contractors and other service providers.
- Liaise with lawyers, mortgage professionals, clients and other parties involved in real estate transactions.
- Track deadlines, outstanding documents and follow-ups to help keep transactions organized and on schedule.
- Support client communication and ensure a professional, responsive experience.
- Help the broader team stay organized without losing sight of the priorities of the Founder and Broker.
Projects & Special Initiatives
- Assist with marketing initiatives, company events and business projects.
- Coordinate tasks and timelines to ensure projects move forward.
- Identify potential problems before they become urgent and recommend practical solutions.
- Take ownership of special assignments from planning through completion.
Qualifications & Experience
Previous experience in a real estate office or brokerage is required.
We're looking for approximately 3–5+ years of experience in real estate administration, executive assistance, transaction coordination, office operations or a similar role within the real estate industry.
The ideal candidate will have:
- A strong working knowledge of the Ontario residential real estate process, including listing and transaction workflows.
- Experience supporting a broker, team lead, high-producing agent or real estate brokerage.
- Excellent organizational skills and the ability to manage competing priorities.
- Strong written and verbal communication skills.
- The ability to work independently, exercise sound judgment and anticipate next steps.
- A proactive approach to problem-solving and process improvement.
- Professionalism and discretion when handling confidential information.
- Strong technology skills and the ability to learn new systems quickly.
Experience with Follow Up Boss, Google Workspace, Microsoft Office and Ontario real estate platforms is an asset.
A valid Ontario driver's licence and reliable vehicle are required.
What Success Looks Like
Success in this role means:
- Thien can focus more of his time on clients, business development and growing the company.
- Important commitments and follow-ups are tracked and completed.
- The office operates smoothly and efficiently.
- Listings,
transactions and administrative tasks remain organized.
- The team receives timely support and clear communication.
- Problems are identified early and processes improve over time.
Ultimately, we want someone who can look at what's happening across the business and confidently say, "I've got it."
The Work Workplace
This is a full-time, in-office position based at our downtown Kitchener location.
As a growing brokerage, we offer a hands-on environment where you'll work closely with the Founder and Broker and have visibility into many aspects of the business. You'll have the opportunity to help build and improve our systems and processes rather than simply inherit them.
Real estate doesn't always operate neatly between 9 and 5, so occasional flexibility may be required for important client matters, listings and events. We also believe that "occasionally" should actually mean occasionally.
This position is ideal for someone who enjoys responsibility, variety and being part of a growing business.
Compensation & Benefits
- Annual salary of $68,000–$82,000, based on experience and demonstrated ability.
- Paid vacation.
- Company events.

Please submit your resume and a brief cover letter explaining your interest in the position and how your real estate experience has prepared you to support a Founder and Broker in a growing brokerage.
Applicants will also be asked to respond to some short questions as part of the application process.
We value thoughtful, specific responses over generic applications.
