The Avid Group
Toronto
ABOUT AVID The Avid Group is a growing, vertically integrated North American apparel company spanning design, manufacturing, decoration, brand management, e-commerce and fulfillment.
We're an entrepreneurial, creative and fast-moving organization that values ownership, relationships, resourcefulness and people who know how to make things happen. We've grown into an international business while maintaining the energy and entrepreneurial spirit that got us here.
We're looking for an exceptional Executive Business Partner to work directly alongside our Founder & CEO, lead the Office of the CEO and oversee the administrative function supporting Avid's executive leadership team.
ABOUT THE ROLE
This is a senior, high-trust role at the centre of Avid's leadership team.
As Executive Business Partner, you'll serve as the Founder & CEO's trusted right hand, helping him operate at his highest level while leading the Office of the CEO and the administrative support function serving our C-suite.
You'll own the systems, priorities, communications, relationships, preparation and execution surrounding the CEO. You'll keep his attention focused on what matters most, ensure important decisions and commitments are followed through, and help his professional and personal responsibilities run seamlessly.
Beyond direct CEO support, you'll lead and develop our Executive Coordinator, establish standards for executive administration, oversee C-suite support and take ownership of major company events led by the Office of the CEO.
The role combines sophisticated executive support, administrative leadership and high-level business exposure. You'll need to be equally comfortable engaging with Board members, managing people and projects, and personally handling the details that keep a busy founder moving.
Above all, we're looking for someone who takes genuine pride in making an executive, their leadership team and the office around them extraordinarily effective.
WHAT YOU'LL OWN
CEO Effectiveness & Priorities
- Ensure the CEO's calendar reflects his highest-value priorities, including strategy, leadership, sales and major relationships.
- Manage competing demands, protect focus time and identify opportunities to delegate or redirect work.
- Anticipate decisions, deadlines and obligations so commitments don't fall through the cracks.
- Be a trusted accountability partner, comfortable challenging, reminding and redirecting the CEO when needed.
Office of the CEO & Executive Administration
- Lead the Office of the CEO and the administrative support function for Avid's executive team.
- Manage, coach and develop the Executive Coordinator, setting clear priorities and accountability.
- Oversee C-suite travel, scheduling coordination, documentation and logistical support.
- Set consistent standards for executive administration, reception and support services.
- Establish reliable processes, delegation, workload priorities and continuity of support.
Executive Communications & Information Flow
- Manage the CEO's incoming correspondence, requests and competing priorities.
- Determine what requires his attention and what can be resolved independently or delegated.
- Prepare concise briefings, correspondence, recommendations and decision-ready information.
- Represent the CEO with professionalism, discretion and sound judgment.
- Ensure important relationships, introductions and opportunities receive timely follow-through.
Leadership, Board & Investor Readiness
- Coordinate preparation for leadership meetings, Board discussions and investor engagements.
- Work with the COO, CFO and leadership team to obtain accurate information and materials.
- Track decisions, commitments and actions arising from these engagements.
- Support leadership meeting rhythms, agendas and follow-through.
- Help the CEO focus on the decisions that require his involvement.
Executive Travel & Personal Support
- Manage complex domestic and international travel, including itineraries, accommodations, transportation and contingencies.
- Provide discreet personal and family-office support, including coordination of personal investment administration, family travel and residential or vacation properties.
- Coordinate personal appointments, arrangements and special projects as needed.
- Anticipate changes and resolve problems independently, handling business and personal matters with exceptional care and confidentiality.
Major Company Events & CEO-Led Initiatives
Lead the planning and delivery of Avid's major annual company events, working through the Executive Coordinator, internal teams and external partners. Oversee planning, budgets, vendors, logistics, communications and execution. Coordinate selected CEO-sponsored initiatives and key external engagements.
Systems, Technology & AI
- Maintain the Office of the CEO's processes, SOPs, task management and shared documentation.
- Identify opportunities to automate, simplify or delegate repetitive work.
- Use AI and modern tools to improve research, preparation, communications and productivity while protecting confidential information.
- Build effective workflows that support the executive office as Avid grows.
WHAT WE'RE LOOKING FOR
- Significant experience supporting a founder, CEO, entrepreneur or senior executive in a high-trust environment.
- Experience leading or coordinating an executive office, administrative team or support function.
- Exceptional organization, attention to detail, anticipation and follow-through.
- Independent judgment, resourcefulness and confidence respectfully managing up.
- Excellent written and verbal communication; able to turn complexity into concise recommendations.
- Experience interacting with leadership teams, Board members, investors or senior stakeholders.
- Extensive experience with complex calendars, international travel and executive communications.
- Comfort supporting professional and personal responsibilities with equal discretion and care.
- Experience planning corporate events, executive offsites or major organizational gatherings.
- Strong proficiency with Google Workspace, collaboration tools and AI-enabled productivity platforms.
- Adaptability, professionalism and excellent interpersonal judgment.
Experience in founder-led businesses, apparel, consumer products,
manufacturing, private equity-backed organizations or family-office environments is an asset.
WHO WILL THRIVE HERE
Our Founder is a highly entrepreneurial and relationship-driven CEO who moves quickly, sees opportunities everywhere and enjoys being involved across the business. He's at his best when focused on strategy, major relationships, selling, leading the team and making important decisions. He also values accessibility and staying close to the details.
You'll thrive if you enjoy creating order without unnecessary bureaucracy, taking ownership without waiting to be asked, and knowing when to push, adapt or simply handle something. You should enjoy a close working relationship with the executive you support and be comfortable moving between Board preparation, executive administration, company events, travel challenges and personal logistics.
We want someone who genuinely enjoys leading an exceptional executive support function while staying personally invested in the details that make it successful.
WHAT SUCCESS LOOKS LIKE
- The CEO spends more time on the work that creates the greatest value for Avid.
- His commitments, decisions and important relationships are consistently managed and followed through.
- He arrives at important engagements prepared, informed and ready to lead.
- The C-suite receives reliable, professional administrative support.
- The Executive Coordinator works effectively within clear priorities and standards.
- Major annual company events are well planned and successfully delivered.
- The Office of the CEO operates with exceptional organization, discretion and consistency.
- The CEO increasingly trusts you to handle complex responsibilities independently.
LOCATION & WORKING ARRANGEMENT
This full-time position is based at Avid's head office in North York, Toronto, with typical office hours of 9:30 a.m. to 6:00 p.m. The role is primarily in-office when the CEO works from Toronto, with greater flexibility to work remotely when he travels. The CEO travels extensively across North America and internationally. Occasional travel alongside him to company facilities, meetings and events may be required.
Flexibility and responsiveness outside regular business hours are important. Due to travel, changing priorities and multiple time zones, the successful candidate must be comfortable responding to time-sensitive matters during evenings, early mornings and weekends when necessary. Constant availability is not expected; sound judgment and timely support when circumstances require it are.
INTERESTED?
If you're an accomplished executive support professional who thrives around entrepreneurial leaders, takes ownership and wants to build and lead an exceptional Office of the CEO, we'd love to hear from you.
