Read This First This is a high-agency role for a generalist and systems thinker who likes solving problems. You will be handed gaps, not instructions.
There is no playbook. Payroll, benefits, contracts, invoicing, and hiring logistics are spread across founders today, with partial processes in some places and none in others. You will take them over, find the gaps, and build the systems that run them.
Much of this job is building: turning a half-finished checklist into one that runs, replacing a one-off fix with a process, and setting up the tools we do not have yet.
You will have more on your plate than you can finish. Part of the job is knowing which two things matter today and saying so out loud.
If you need the process defined before you can start, this is not the role. If ambiguity is where you do your best work, keep reading.
About melyn melyn is the operating system for First Nations Canada. Housing, governance, grants, finance, and community engagement in one platform, used by Nations across the country. We are a lean, remote team. This role keeps the company running so the rest of us can stay on client work.
What You'll Own Payroll for employees and contractors, including final pay and records of employment
Benefits administration with Alberta Blue Cross
Offer letters, employment and contractor agreements, amendments, and a single place where the signed versions live
Onboarding and offboarding checklists that actually run: devices, tools, access, paperwork
Hiring logistics: postings, screening, scheduling, candidate communication
Time off and statutory holiday tracking across provinces
Client invoicing and accounts receivable follow-up
Expense claims for the team in the field
Performance, probation, and bonus frameworks, built with leadership and then run by you
Deciding what systems we need, setting them up, and making them stick
What You Bring 3+ years in people operations, HR administration, payroll, bookkeeping, or a generalist operations role where you owned the work
Working knowledge of Canadian employment standards and payroll, and the instinct to check the provincial rules before acting
Comfort with numbers and attention to detail
Organized and self-directed across many open threads at once
Proactive communicator: you chase the answer rather than wait for it, you flag a slip before anyone asks, and if a founder goes quiet on something you need, you follow up until you have it
Solutions over excuses: when something blocks you, you arrive with options, not reasons
Discretion with salaries, contracts, and personal information
High comfort with AI. Preference for people who have already built in Claude: skills, agents, or processes they use in their own work
Based in Canada and legally entitled to work here
Less experience considered if you can show real ownership and the ability to build from nothing
Why melyn Salary based on experience and fit. We pay for output and ownership, not years on a resume
You sit in the founder's office and work directly with the CEO and COO. The org is flat: no layers between you and the people making decisions
Fully remote across Canada, with a team that is small enough that your work is visible to everyone, including the founders
The company is growing rapid and the role grows with it. What you build in year one can be the function you lead in year two
This role starts in operations, but it does not have to stay there. Once the people and finance functions run without you watching them, there is a path into business development, growth, or finance strategy alongside the founders
This is not a nine to five with a startup logo. The pace is real, the hours flex, and the team shows up for each other
Problems here rarely come with instructions. We hire people who find that energizing rather than frustrating
