Overview

Our client is looking for a highly organized and detail-oriented Inside Sales and Marketing Coordinator (Klaviyo & Shopify) to support its growing sales, affiliate marketing, customer retention, and day-to-day marketing operations. In this role, you will help keep affiliate activities, customer records, orders, pricing materials, sample shipments, and trade-show preparations accurate, organized, and on schedule. Working closely with cross-functional leadership and order teams, you will own administrative workflows and maintain reliable tracking systems across multiple priorities.

- Monday through Friday, 9:00 AM - 6:00 PM Calgary, AB Mountain Time Zone (40 hours per week, 8 hours per day)

Responsibilities

Affiliate Marketing Coordination

- Coordinate affiliate onboarding, communications, follow-ups, and ongoing program administration.
- Maintain accurate affiliate records, tracking links or codes, sales activity, and commission trackers.
- Reconcile commission discrepancies and monitor amounts pending approval, paid, or outstanding.
- Prepare affiliate brand kits and coordinate product samples, shipments, delivery tracking, and follow-ups.

Inside Sales and Customer Retention
- Support the VP of Sales by distributing approved pricing sheets, product updates, promotions, and marketing materials to customers, retailers, and distributors.
- Maintain organized customer and prospect databases, communication records, follow-up schedules, and reorder reminders.
- Ensure pricing documents reflect the correct customer tier, currency, and approved version.
- Follow up on outstanding customer requests and help maintain strong account relationships.

Order Entry and Coordination
- Enter sales orders accurately, verifying customer information, SKUs, quantities, case packs, pricing, and shipping details.
- Coordinate with order entry and order coordination teams to confirm task ownership and prevent duplicate processing.
- Maintain order trackers and provide timely status updates for customer, affiliate, sample, promotional, and trade-show orders.
- Identify missing information, inconsistencies, or potential delays and escalate them promptly.

Marketing Operations and Customer Data
- Clean, organize, validate, and upload customer data into Klaviyo.
- Check for duplicate records, missing fields, import errors, and correct list or segment assignments.
- Maintain customer consent records and honor unsubscribe preferences.
- Support approved promotional campaigns, customer segmentation, retention initiatives, and marketing follow-ups under the direction of the marketing team.

Sample Coordination and Shipping
- Coordinate sample requests for affiliates, prospective customers, retailers, and distributors.
- Verify recipient details, products, quantities,



and delivery deadlines before arranging shipments.
- Book shipping for samples, brand kits, merchandise, and marketing or trade-show materials.
- Prepare shipping labels and documentation, arrange pickups, track costs and delivery, and resolve shipping delays with the appropriate team.

Trade Shows and Marketing Materials
- Support trade-show planning by tracking registration deadlines, schedules, appointments, shipments, and required supplies.
- Maintain inventory and cost trackers for merchandise, product samples, brand kits, and promotional materials.
- Ensure current pricing sheets, product information, and approved marketing materials are ready for events.
- Record trade-show leads and orders, assign follow-up owners, and monitor progress after each event.

Daily Team and Administrative Support
- Maintain accurate shared trackers, calendars, documents, and task lists with clear owners, deadlines, and status updates.
- Proactively follow up on outstanding tasks and identify potential issues before they affect deadlines.
- Coordinate priorities across marketing, sales, order entry, and leadership.
- Exercise sound judgment when handling routine issues, clarify conflicting priorities, and recommend practical next steps.

Requirements

- Direct experience in an inside sales, sales coordination, or marketing operations role supporting a consumer product brand that sells through both D2C and wholesale channels with at least 2 years of experience.
- Hands-on experience with affiliate marketing, including onboarding, tracking, commission reconciliation, or related program administration.
- Experience in sales and order administration, including maintaining customer records, managing pricing materials, processing orders, and coordinating with internal teams.
- Hands-on experience with Klaviyo, including cleaning, importing, organizing, and segmenting customer data.
- Experience using Shopify or a comparable e-commerce or order management platform.
- Solid Excel or Google Sheets skills, including maintaining trackers, validating data, and monitoring quantities, commissions, and costs.
- Hands-on experience coordinating product samples, shipments, shipping arrangements, and promotional materials
- Experience assisting with event preparation, merchandise tracking, lead capture, or post-event follow-up.
- Excellent written and spoken English, with the ability to prepare clear customer emails,



accurate documentation, and professional internal updates.
- Ability to work the Calgary, Alberta business schedule with full-day overlap and adjust to Mountain Time daylight-saving changes.
