ABOUT THE ROLE

You own a portfolio of fitness studio clients — independent studios and franchise locations alike. Our systems surface what needs attention — you decide what to do about it.

You will not be building campaigns from scratch or assembling reports by hand; strategy sits upstream and the weekly reports are automated. Your job is to make sure every client feels like a real person is paying attention to their business. When something is off, you catch it before they do. When they reach out, you respond fast. When an account is trending toward cancellation you act — and the faster you act on an underperforming account, the better the odds of saving both the results and the relationship.

Client interaction is mostly text-based through our CRM, with occasional troubleshooting calls. You'll get comfortable working inside GoHighLevel rather than just messaging from it, and we'll train you on the rest. You deal directly with studio owners and managers rather than procurement teams and account committees — though some clients are locations of a larger franchise group, so expect some corporate structure behind them. The stakes are real, but the pressure is human-scale.

Your portfolio starts at roughly 30 accounts during ramp-up and grows toward 50–60 as you get fluent, drawn from across our client base.

WHAT YOU OWN

- A portfolio of fitness studio accounts — independent studios and franchise locations — end to end
- Keeping client conversations moving in GoHighLevel — nothing sits overnight, and you work to the response target for each client's support tier. Response time is measured, and we tell you the exact targets during hiring, not after you start.
- Triaging your own day — deciding what gets answered first when several clients need you at once, and holding that line when everything feels urgent
- Daily dashboard monitoring: the system flags accounts, and you work the flags to defined windows — red accounts actioned within 14 days, churn risk logged within 24 hours
- Proactive outreach when an account is underperforming or at churn risk, including chasing clients who ignore the automated alerts
- Onboarding oversight for new clients — access, setup, and momentum
- Working inside GoHighLevel daily — reading and testing client workflows, checking booking calendars against the studio's live class schedule, confirming the AI booking bot is attached and responding, and fixing contacts, opportunities and pipeline data when they drift
- AI-generated ad creatives for clients who have approved AI content, with the Agency Operations Lead signing off before any AI-made creative reaches a client
- Mentioning relevant add-on services when a client conversation naturally calls for one
- Account health logging and CRM hygiene in Airtable and GoHighLevel — a genuine chunk of the week is precise administrative work, and it matters because every report and flag downstream depends on it
- QA and send-off of the automated weekly client reports

- Escalating non-standard issues and churn risks with context the next person can act on

WHAT YOU DON'T OWN

- Campaign strategy — handled upstream
- The franchise-partner relationship itself — corporate-level conversations sit with the Agency Operations Lead. You still service their individual locations day to day.
- Building or re-architecting GoHighLevel workflows and bot logic from scratch — but you do read them, test them, find where they broke, and escalate with specifics. Rebuilds sit with our automation team.
- Hard selling — you surface options only when they genuinely help the client
- Building reports from scratch — the automated reports go out; you QA and send

A GOOD DAY

You open the dashboard and within 20 minutes know which accounts need attention. You clear overnight messages, work through flagged accounts, run the SOP checklist, and make the call on what to do. Somewhere in there you are in GoHighLevel tracing why a follow-up didn't send, or lining a client's booking calendar up against their real class schedule. Anything outside the playbook gets logged and escalated with context. By end of day nothing sits unanswered, and every flag inside its window has been moved forward. Some days a client is frustrated or a new account needs hand-holding — you handle those calmly and directly, without being coached through every response.

WHAT WE'RE LOOKING FOR

- Genuinely good with people — you read a client's mood in a short message and respond in kind
- A fast responder by nature — you reply quickly and consistently without being chased, and you can hold a same-day standard on a busy day
- Organized and consistent — nothing slips, and you don't need reminding
- Grit — our systems are still maturing; when something breaks you find the workaround and flag it
- Comfortable with ambiguity — you can operate without a complete playbook, and help write one
- Technically confident — you're the person who opens the settings, traces why an automation didn't fire, and can hold a mental model of how a CRM is wired
- Curious about data — you can look at a cost-per-lead trend and know something is off
- Genuinely comfortable with detailed admin — checklists, records and data hygiene done right, every day
- Experience in client-facing roles — customer success, account coordination, call centre leadership, or similar

WHAT YOU DON'T NEED

- Deep paid media expertise — you'll learn what you need
- A developer background — you won't write code, but you will read and troubleshoot automations
- Prior agency experience — fitness industry knowledge is a plus, not a requirement

- A strategic marketing background — that's not this role
- Enterprise account management experience — this is high-volume, text-first work with owner-operators and studio managers

TOOLS YOU'LL WORK IN DAILY

GoHighLevel (CRM and automation), Airtable (our system of record), our in-house client dashboard, CloseBot, ClickUp, MindBody, Slack and Google Workspace.

We train you on all of it, and you don't need to arrive an expert. But GoHighLevel is the one where depth matters: hands-on experience with GoHighLevel or a comparable CRM/automation platform is a real advantage, and either way you should be someone who picks up new software quick and without hand-holding.

YOUR FIRST 90 DAYS

You are not handed a full portfolio on day one, and you are not left to work it out alone either. Ramp usually runs roughly like this, and we adjust it to the person:

- Weeks 1–2 — systems access and orientation. You learn our SOPs, sit alongside the current coordinators, and watch real accounts being worked rather than reading about them.
- Weeks 3–4 — you take your first accounts, with someone reviewing your client messages and flag decisions before and after they go out.
- Month 2 — your portfolio grows toward roughly 30 accounts and you own the daily flag and dashboard work end to end, with escalation support close at hand.
- Month 3 — you are running your own book and growing toward 50–60 accounts as you get fluent. We check in formally at 30, 60 and 90 days.

YOUR SETUP (REQUIRED)

This is a fully remote role and you work from your own space, so we need to know it will hold up:

- A reliable laptop or desktop of your own — Windows 10/11 or a current macOS, 8 GB RAM or more — that is yours alone, not a shared household computer
- Home internet you can count on: at least 25 Mbps down / 5 Mbps up, stable enough for video calls all day
- A fallback if your internet drops — phone hotspot or an alternative location. Client conversations don't pause when a router does.
- A headset with a microphone, and a quiet place to take client calls
- A smartphone that can run an authenticator app. We require two-step verification on every company account, and you'll use our company password manager for shared logins.
- Availability during business hours in Eastern Time, whichever province you live in

COMPENSATION & BENEFITS

- Base salary — CA$48,000 per year
- Profit sharing — a share of quarterly net profit, distributed across the team and paid one quarter in arrears
- Vacation — 10 paid days per year, or your province's statutory minimum if it is higher, accrued from your start date
- Learning & development — our full Udemy course library, free to you
- Work from home, permanently
