Impact Medical Cosmetics is looking for an experienced, motivated and highly organized Assistant Clinic Manager to join our team in downtown Oakville.

This is more than a traditional front desk position. We are looking for someone who has experience in the medical aesthetics industry, enjoys working with clients and is confident taking ownership of daily clinic operations, client relationships, sales and team support.

The ideal candidate is warm, professional, proactive and business minded. You should be comfortable managing a busy front desk, supporting a team of nurses and aestheticians, following up with leads and clients, helping optimize schedules and identifying opportunities to improve bookings, rebooking and overall clinic performance.

Responsibilities

- Oversee daily front desk operations and help ensure the clinic runs smoothly and efficiently
- Manage phone calls, emails, text messages, bookings, cancellations and client inquiries
- Maintain and optimize provider schedules, including proactively filling cancellations and open appointment times
- Create a warm, welcoming and skilled experience for every client
- Build strong relationships with current and existing clients
- Follow up with new leads and help convert inquiries into consultations and appointments
- Follow up with existing clients regarding rebooking, treatment plans and upcoming appointments
- Educate clients on appropriate treatments, packages, memberships and skincare products
- Support clinic sales and revenue goals through strong client communication, follow up and relationship building
- Assist with staff scheduling, daily clinic coordination and team accountability
- Support inventory management, product ordering and clinic organization




- Assist with implementing clinic procedures, systems and operational improvements
- Help track important clinic metrics including bookings, lead conversion, rebooking, client retention and sales
- Handle client concerns professionally and know when issues should be escalated
- Proactively identify problems and take initiative to find solutions
- Support the clinic owner with day to day operational and business priorities

Qualifications

Medical aesthetics industry experience is strongly preferred.

We are particularly interested in candidates with experience in medical aesthetics, cosmetic medicine, cosmetic dermatology, plastic surgery, luxury beauty, wellness or a similar client focused environment.

The ideal candidate will have:

- Previous experience in medical aesthetics or a comparable industry
- Experience in a senior front desk, clinic coordinator, assistant manager or leadership position
- Knowledge of treatments such as Botox, dermal fillers, microneedling, laser hair removal and medical grade skincare
- Strong customer service and relationship building skills
- Experience with sales, client follow up, rebooking or appointment conversion
- Excellent communication and organizational skills
- The ability to multitask and stay composed in a busy clinic environment
- Strong attention to detail and follow through




- A proactive mindset and willingness to take ownership
- Strong problem solving skills and good judgment
- Comfort working toward clinic performance and revenue goals
- Genuine interest in the medical aesthetics industry and professional growth

Experience with Jane App or similar clinic management software is considered an asset.

Impact Medical Cosmetics is an established medical aesthetics clinic in downtown Oakville offering cosmetic injectables, PRP, microneedling, advanced skin treatments, medical grade facials and laser hair removal.

Our approach is centred around integrity, education and exceptional client care. We focus on building long term relationships with our clients and helping them make informed decisions without high pressure sales.

We are looking for someone who wants more responsibility than a traditional front desk role and is interested in growing into a larger clinic leadership position.

Compensation is $24 to $27 per hour based on experience, with opportunities for performance based incentives, skincare sales commission, employee treatment benefits and skincare discounts.
