Operations Manager – Cosmetics Manufacturing Launch
Project-based / part-time engagement with the potential to transition into a full-time role
Vaughan, Ontario | Hybrid | CAD $50–$150 per hour
ABOUT THE OPPORTUNITY
Our company is planning to launch a cosmetics manufacturing operation in Ontario. We are looking for an experienced Operations Manager to work directly with the owner and help build its operations from the ground up. Terms are negotiable, and different arrangements can be discussed.
Your role is to establish a clear, well-managed system covering purchasing, warehousing, raw material and packaging flows, production planning, product costing, coordination between departments, team accountability, sales and marketing operations, and reporting to the owner.
We are looking for a hands-on professional who will personally implement processes, train employees, and ensure that procedures work in daily operations.
KEY RESPONSIBILITIES
Develop and implement the manufacturing operating model, from purchasing materials through production and transfer of finished goods to the warehouse.
Define the team structure, responsibilities, reporting relationships, and accountability. Assist with recruiting key employees and selecting specialist contractors.
Establish inventory tracking for raw materials, packaging, work in progress, and finished goods, including batches, expiry dates, returns, rejects, and write-offs.
Work with the production technologist to establish material usage standards, expected yields, and process loss allowances. Implement planned-versus-actual reporting.
Coordinate preparation of the premises with the production technologist, qualified specialists, and contractors, addressing applicable Canadian cosmetics manufacturing requirements, fire safety, and occupational health and safety.
Work with the accountant or cost accounting specialist to establish product costing and reconcile production, inventory, and accounting records.
Implement production planning and determine material, packaging, and staffing requirements.
Establish internal controls, including physical inventory counts,
purchasing and write-off approvals, access controls, and investigation of discrepancies.
Select appropriate inventory and accounting tools and coordinate implementation.
Create management reports covering inventory, output, costs, losses, and performance against plan.
Develop work instructions and train employees.
Organize sales and marketing functions: define roles, workflows, performance measures, and coordination with production; support recruitment of employees and contractors.
REQUIREMENTS
Hands-on experience implementing processes for manufacturing companies. Experience building or launching a manufacturing operation from the ground up is particularly important.
Experience managing production or manufacturing operations.
Practical understanding of inventory and manufacturing accounting, product costing, and material inventory control.
Experience implementing business systems, operating procedures, and management reporting.
Ability to work effectively with a developing team and manage agreed resources.
Working proficiency in English for business communication and operational documentation.
Applicants must currently be based in Ontario and be available for agreed on-site work in Vaughan.
PREFERRED QUALIFICATIONS
Experience in cosmetics manufacturing or related industries, including household chemicals, food, natural health products, or pharmaceuticals.
Experience with mixing, filling, packaging, and batch production.
Knowledge of applicable Health Canada cosmetics requirements, Ontario manufacturing requirements, and Valuable Manufacturing Practices (GMP).
Russian language skills are an asset for communication with the Russian-speaking owner, but are not required.
Relevant experience gained in Canada or internationally will be considered.
HOW WE WILL WORK TOGETHER
Compensation: CAD $50–$150 per hour, depending on the task, relevant expertise, and level of responsibility. The applicable rate or fixed project fee is agreed before each phase begins.
Work is project-based. There are no guaranteed weekly hours; workload and scheduling depend on agreed project phases.
The first paid assignment can begin immediately after selection and agreement on the first phase and its terms.
The initial phase will define the launch priorities, process map, team structure, implementation plan, and budget. Subsequent phases will focus on implementation.
Milestones, timelines, decision-making authority, resources, and acceptance criteria will be agreed at the outset.
Following the launch, there may be an opportunity to transition into full-time employment.
Expected outcomes include functioning inventory and management systems, trained employees, effective departmental operations, clear product costing, and transparent reporting based on actual transactions.
