Loyalty Vending
North York
The role
We're hiring an AP/AR Accountant to own accounts payable, accounts receivable and the paperwork behind our books for two companies, Loyalty Vending and Heather's Foods. You report directly to the CEO, a CPA, CA. Our controller function is outsourced, and you'll be the controller's main point of contact inside the company.
Loyalty Markets runs vending, micro-markets, office coffee and fresh food across 200+ workplaces in Ontario. We're a small office growing quickly. That means less process than a large company and more room to take on work as you show you can handle it.
This is a self-directed role. You'll set your own weekly rhythm, ask when something is unclear, and fix problems when you find them instead of working around them.
What you'll do
Accounts payable. Process roughly 40–50 inventory invoices a week, plus month-end non-inventory bills. You'll capture them in Dext, match each one to its purchase order and our price sheet, and resolve discrepancies with vendors directly. You'll also prepare vendor payments in Plooto. AP is more than half of this job, so you should enjoy high-volume, detailed work.
Invoice imports and order matching. Import supplier invoices into Cantaloupe Seed, our inventory and route system. Match them against orders in our in-house ordering system so that inventory, cost and AP all agree. Missed matches are margin leaks, so you'll track them down.
Accounts receivable. Apply customer payments in QuickBooks as they come in, so the bank feed and the aging both stay current. Work the aging every week: send reminders, call customers, sort out short payments and disputes, and escalate the accounts that are stuck. Collections is the part of this job that most often gets neglected. Here it can't be.
Expense review. Analyse our van fuel bills, credit card bills and repair bills. Code them correctly, question charges that don't look right, and flag trends before they become problems.
Month-end support. Find and attach the paperwork behind transactions,
clear unmatched items in our bank and credit card feeds, and import card activity that doesn't arrive through a feed. Our outsourced controller completes the month-end reconciliations and handles all filings. Your job is to give them clean inputs and quick answers.
Backup for coffee billing. Our Customer Success team invoices office coffee customers. You'll be their trained backup and cover vacations and peak periods.
Build it better. Much of this work is matching data across systems that don't talk to each other: Seed, QuickBooks, Dext and our ordering system. We work only in Claude. You'll use it every day to clean exports, match records and flag exceptions, and you'll be expected to turn manual steps into repeatable workflows.
What you need
- 2+ years of AP and AR experience in QuickBooks Online, ideally in a business that buys and sells physical product: distribution, food service, retail or similar.
- An accounting diploma or degree. A CPA designation is not required. If you're working toward one, we'll support it.
- Strong Excel skills. You can clean a messy export and build lookups and pivots to match two lists that don't line up.
- Daily, practical AI use. You already use AI for real work, not just to try it out. We work only in Claude. Experience with it is a plus, and if you've used another tool you'll need to be ready to switch. In the interview we'll give you two messy exports and ask you to reconcile them using Claude.
- Self-direction. You can manage a mixed workload without someone checking in every day, and you say so early when something is slipping.
- Comfort on the phone with customers. Collections means talking to people, not only sending emails.
Nice to have
- Experience with Dext, Plooto or another AP automation tool
- Experience with bulk CSV imports into an ERP or inventory system
- Power Query, or some exposure to scripts or automation
- Experience in vending, micro-markets, office coffee or route-based businesses
How we work and where this goes You'll work directly with a CEO who is a CPA, CA. Your questions get answered by someone who knows the accounting and runs the business, with no layers in between. In exchange, we need flexibility. In a small office, priorities change and you'll sometimes cover work outside your list.
We plan to roughly double the business by 2029. As we grow and you prove yourself, there's a explicit path to take on more: fixed assets, month-end entries, inventory and margin analysis, and eventually work that now goes to our outsourced controller.
