About the Role

We're looking for a Business Operations & Finance Coordinator to help manage the financial, administrative, and operational functions of our business.

This is a varied position suited to someone who enjoys working independently, solving problems, and taking responsibility for keeping a business running smoothly.

You'll work directly with company leadership and collaborate with our technicians, project managers, accountants, suppliers, and clients.

The ideal candidate is highly organized, comfortable with technology, detail-oriented, and proactive about finding better ways to get things done.

Key Responsibilities

Financial Administration

- Manage daily financial administration using QuickBooks Online.
- Prepare customer invoices and track outstanding payments.
- Coordinate accounts payable, vendor invoices, and expenses.
- Monitor financial transactions and maintain accurate records.
- Work with external bookkeepers and accountants to resolve discrepancies.
- Review employee time entries and assist with project and service billing.

Service Coordination

- Respond to customer service requests and coordinate appointments.

- Schedule and dispatch service technicians efficiently.
- Maintain service calendars and communicate scheduling updates.
- Track completed service work and ensure timely invoicing.
- Follow up with clients to ensure outstanding requests are addressed.

Purchasing & Vendor Coordination

- Process equipment orders for installation projects and service work.
- Communicate with suppliers regarding pricing, orders, and deliveries.

- Coordinate returns, warranties, and supplier-related matters.
- Help maintain organized equipment and purchasing records.

Business Operations & Improvement

- Develop and maintain standard operating procedures (SOPs).
- Identify opportunities to improve administrative workflows.
- Maintain organized business records and internal documentation.
- Support the implementation and improvement of business management systems.
- Assist company leadership with operational priorities and reporting.

What We're Looking For
- Experience in business administration, office coordination, bookkeeping, or a similar role.
- Strong organizational skills and exceptional attention to detail.
- Experience with QuickBooks Online or similar accounting software is highly desirable.
- Confidence learning recent software and working with digital business systems.

- Excellent written and verbal communication skills.
- Ability to manage multiple priorities and work independently.
- A proactive approach to problem-solving and process improvement.
- Professionalism when communicating with clients, vendors, and colleagues.

Experience in the construction, technology, engineering, or service industries would be an asset but is not required. We value initiative, reliability, and a willingness to learn just as much as previous industry experience.

What We Offer

- Competitive salary of $60,000–$70,000, based on experience.
- Three weeks of paid vacation.
- Employer-paid extended health and dental benefits.
- Flexible working arrangements, including opportunities to work from home.
- A supportive, collaborative team environment.
- Direct involvement in the operations of a growing company.
- Opportunities to expand your responsibilities and develop professionally.
- A workplace where new ideas and process improvements are encouraged.

Why Join Intersystem? We're not a large corporation with layers of management and rigid procedures.

We're a growing company where your contributions will be visible, your ideas will be heard, and you'll have the opportunity to make a meaningful impact on how the business operates.

We're looking for someone who wants to become an important, long-term member of our team.
