About the Position

Xtreme Car Rentals is seeking an experienced, motivated, and organized Assistant Manager to support the daily operations of our car rental business. The ideal candidate will have previous management experience, a strong understanding of vehicle rental operations, and experience working with insurance companies and insurance-related rental claims.

We are looking for someone with excellent customer service and leadership skills who can manage competing priorities, resolve issues efficiently, and help ensure the business operates smoothly and professionally.

Key Responsibilities

- Assist with the daily management and operations of the rental business.
- Support, supervise, and coordinate staff to ensure efficient operations and excellent customer service.
- Manage vehicle rental reservations, agreements, extensions, returns, and customer inquiries.
- Communicate and coordinate with insurance companies, insurance adjusters, and claims representatives regarding rental vehicles and approved rental periods.
- Handle insurance replacement rentals, claim-related documentation, billing, and payment follow-ups.
- Monitor rental agreements, customer records, vehicle availability, and fleet scheduling.
- Coordinate vehicle pickups, drop-offs, deliveries, and returns as required.
- Address customer complaints, resolve rental issues, and handle escalated situations professionally.
- Ensure rental contracts, insurance documentation, and other records are accurate and up to date.
- Assist with invoicing, payment processing, accounts receivable, and outstanding rental balances.
- Monitor vehicle maintenance schedules, cleanliness, and general fleet readiness.
- Help develop and maintain strong working relationships with insurance companies, repair facilities, and customers.
- Assist the manager with administrative duties, staff scheduling, and operational decision-making.




- Ensure company policies, rental procedures, and applicable requirements are followed.

Required Qualifications
- Previous management or supervisory experience is required.
- Previous experience working with insurance companies in the vehicle rental, automotive, collision repair, or insurance claims industry is strongly preferred.
- Knowledge of insurance replacement rentals, rental approvals, claim numbers, billing procedures, and rental extensions.
- Experience managing customer accounts, rental agreements, and administrative documentation.
- Strong leadership, organizational, and problem-solving skills.
- Excellent communication and customer service abilities.
- Comfortable handling customer concerns, resolving disputes, and making decisions in a fast-paced setting.
- Strong computer skills and experience with office software and business management systems.
- Ability to multitask, prioritize responsibilities, and work independently.
- Valid driver's licence and a satisfactory driving record, as required for the role.

Preferred Experience
- Previous employment with a car rental company.
- Experience dealing directly with insurance companies, adjusters, and claims departments.
- Familiarity with accident replacement rentals and collision repair shop processes.
- Experience with rental fleet management, invoicing, and accounts receivable.
- Existing knowledge of the automotive or collision repair industry.
