Overview

We are seeking an energetic, organized, and proactive Booking & Outreach Coordinator to join our dynamic team. This role will work alongside our existing Booking Coordinator to support current booking operations while taking a strong lead in outreach, sales, and business development.

The ideal candidate is confident communicating with new people, comfortable making outbound phone calls and sending high volumes of emails, and motivated by actively finding new business opportunities. Rather than waiting for inquiries to come in, this position will focus on identifying potential clients, building relationships, and turning outreach efforts into new bookings.

By connecting with schools, camps, daycares, businesses, community groups, municipalities, and other organizations, you will play an important role in expanding Reptilia’s reach and helping grow our bookings, programs, and experiences.

Responsibilities

- Proactively identify and develop new booking opportunities through outbound sales and outreach
- Research and build lists of potential clients, organizations, and community partners
- Reach out to schools, camps, daycares, businesses, municipalities, community groups, and other potential clients by phone and email
- Make outbound phone calls and send introductory, follow-up, and sales emails
- Promote Reptilia’s outreach programs, field trips, group visits, camps, events, and other experiences
- Manage and coordinate booking requests, ensuring accurate information and timely follow-up
- Follow up with prospective clients and move leads through the booking process from initial contact to confirmed booking
- Re-engage previous clients and encourage repeat bookings and future visits
- Identify opportunities to upsell or expand bookings where appropriate
- Build and maintain strong relationships with clients, organizations, and community partners
- Maintain organized records of leads, conversations, follow-ups, bookings,



and outreach activities
- Track sales leads and consistently follow up on outstanding opportunities
- Work closely with Kaiden to ensure leads and booking opportunities are properly followed through
- Provide excellent customer service and respond to inquiries in a professional and timely manner
- Support the existing booking workload and assist with other booking-related tasks as needed

Experience
- Previous experience in sales, customer service, hospitality, bookings, outreach, marketing, or business development is an asset
- Strong verbal and written communication skills
- Comfortable making outbound phone calls and initiating conversations with new clients
- Comfortable sending a high volume of professional emails and conducting consistent follow-ups
- Strong organizational skills with the ability to manage multiple leads, conversations, and deadlines
- Self-motivated and able to work independently while also collaborating effectively with a team
- Confident, personable, and comfortable speaking with a wide range of organizations and decision-makers
- Strong attention to detail and ability to maintain accurate records
- Demonstrated ability to build relationships and identify opportunities
- Experience with sales, lead generation, or outreach is highly preferred
- Experience working with booking or customer relationship management systems is an asset
- Passion for providing exceptional customer service and creating memorable experiences

Schedule Part-Time — 15 hours per week
