Company Description Y Media Group is one of Canada’s leading South Asian media organizations, serving communities nationwide for over 25 years. Its multi-platform ecosystem includes the Midweek Newspaper, Radio Y, Channel Y, SouthAsianDaily.com, and the Y Media Awards.

Through television, radio, print, digital media, and events, Y Media Group connects communities, businesses, and decision-makers while delivering news, entertainment, lifestyle, sports, and cultural programming.

Role Description Y Media Group is seeking a highly organized, proactive, and dependable Chief of Staff to work directly with the CEO & Group Editor.

This is a hands-on executive support and operations role that requires exceptional organizational skills, discretion, flexibility, and the ability to manage multiple priorities in a fast-paced media environment.

The successful candidate will be responsible for managing the CEO’s daily schedule, coordinating meetings and business engagements, providing executive transportation, facilitating communication across departments, and ensuring the smooth execution of day-to-day activities.

The role requires someone who can anticipate needs, take initiative, follow through on commitments, and serve as a trusted point of coordination between the CEO, internal teams, and external stakeholders.

Key Responsibilities

Executive Calendar & Schedule Management

- Manage the CEO’s daily calendar, meetings, appointments, events, and professional commitments.
- Prioritize engagements, coordinate schedules, and ensure productive time management.
- Prepare daily agendas, meeting reminders, briefing notes, and follow-up lists.
- Anticipate scheduling conflicts and proactively manage changes.

Executive Transportation & Logistics

- Personally drive and accompany the CEO to business meetings, events, appointments, and other professional engagements.
- Plan routes, coordinate travel logistics, and ensure punctual arrival at scheduled commitments.
- Manage transportation arrangements for business travel and external engagements as required.
- Maintain flexibility to accommodate schedule changes and occasional evening or weekend commitments.

Daily Operations & Executive Support
- Oversee the CEO’s day-to-day executive activities and administrative requirements.
- Track priorities, pending decisions, deadlines, and action items.
- Anticipate operational needs and proactively resolve day-to-day challenges.
- Manage confidential correspondence, documentation, and sensitive information.

Internal Team Coordination

- Act as a key liaison between the CEO and various departments, including editorial, production, sales, marketing, and administration.
- Coordinate internal meetings and ensure timely communication of instructions and priorities.
- Follow up with team members on assigned responsibilities, deadlines, and deliverables.
- Support smooth communication and operational efficiency across departments.

Meetings, Events & Stakeholder Coordination
- Coordinate meetings with business leaders, government representatives, corporate partners, and community stakeholders.
- Prepare meeting materials, briefing notes, agendas, and relevant background information.
- Accompany the CEO to meetings and events as required.
- Record key discussion points, track action items, and coordinate follow-ups.

- Assist with planning and logistics for media engagements, corporate events, and organizational initiatives.

Qualifications & Requirements
- Previous experience in executive assistance, executive operations, office management, or a similar role.
- Exceptional organizational, time-management, and multitasking abilities.
- Valid Ontario driver’s licence, clean driving record, and confidence driving throughout the Greater Toronto Area.
- Strong written and verbal communication skills.
- Ability to coordinate effectively with senior executives, internal teams, and external stakeholders.
- Proficiency in Microsoft Office, Google Workspace, and digital calendar-management tools.
- High level of discretion, confidentiality, professionalism, and reliability.
- Proactive, resourceful, detail-oriented, and solutions-focused approach.
- Flexibility to work occasional evenings or weekends based on business requirements.
- Familiarity with the media industry and South Asian community in Canada is an asset.
- Postsecondary education in business, communications, administration, or a related discipline is preferred, although relevant experience will also be considered.

Ideal Candidate

We are looking for someone who is more than an administrative assistant — a trusted, hands-on professional who can manage the CEO’s schedule, coordinate people and priorities, anticipate requirements, and ensure that daily commitments are executed seamlessly.

The ideal candidate is personable, composed under pressure, exceptionally dependable, and comfortable working closely with senior leadership in a dynamic environment.

This is an opportunity to work directly with the leadership of one of Canada’s established South Asian media organizations and gain exposure to media, business, corporate partnerships, government relations, and community engagement.**
