KEY NOTE:Thank you for your interest in our open position. We’re only reviewing applications submitted via email to [email protected]. In your email, please tell us a little bit about yourself, why you would succeed in this role, and include your resume as an attachment. We appreciate your time and promise to get back to you!

About the Role

We're looking for a personable, organized, and resourceful individual to join us as in a new role as a Customer Service & Administrative Coordinator. This isn't your typical customer service or administrative function. While you'll handle some routine tasks that keep things running smoothly, you'll also solve problems, learn about technical products, and get involved in different areas of the business.

This is a hands-on, varied role that combines customer service, sales support, operational coordination, and general office administration.

While some parts of the job are straightforward and routine, others will call for curiosity, critical thinking, and a willingness to figure things out. One day you might be helping with customer inquiries and preparing quotes; the next, you could be investigating a freight discrepancy or figuring out how to make an administrative process more efficient. While you don't need to be a technical expert, you should be comfortable working with technical information and interested in learning how things work.

We're looking for someone who can think logically, ask good questions, and take initiative rather than simply wait for instructions.

How we communicate with customers is important to us. Our style is friendly, approachable, and professional, with an emphasis on plain language, clear explanations, and genuine, helpful interactions. You'll need to be comfortable working within this communication framework and adapting your approach to different situations and audiences.

Who Tends to Do Well Here

While experience matters, so do curiosity, attitude, and the ability to learn. We're less concerned with whether you've held this exact job title before and more interested in how you approach your work. We're looking for someone who brings a solid foundation of professional experience and knows how to manage their work with confidence.

Someone who can balance competing priorities, communicate effectively with customers and colleagues, and take responsibility for seeing things through.

People who do well here pay attention to what's happening around them. They recognize when something needs attention, ask thoughtful questions, and use their experience and judgment to investigate issues or recommend solutions. We value initiative and people who bring ideas forward rather than simply waiting for direction.

The Experience and Skills You Bring

You may have worked in sales support, administration, or an operational role where you've had to juggle different requests, keep information organized, and make sure things get followed through. Perhaps you've been the person who tracks down a missing order, sorts out a discrepancy, coordinates information between departments, or helps a customer find the answer they need. These are the kinds of experiences that translate well to this position.

What matters to us is that you've developed the practical skills and experience to manage your responsibilities confidently and contribute from the outset.

We're looking for demonstrated skills and abilities in:

- Managing multiple responsibilities, maintaining accurate records, and keeping outstanding work on track.
- Responding to customer inquiries, coordinating information, and providing reliable administrative or operational support.
- Using common business software, including Microsoft Office applications, to manage information and complete work efficiently.
- Investigating issues, identifying discrepancies, and working through practical solutions.

Additional experience or capabilities that would be valuable:
- Strong proficiency in using CRM systems, processing orders, preparing quotes, or administering customer accounts.
- Coordinating shipping and freight,

including international logistics or customs documentation.
- Supporting basic accounting administration, invoice reconciliation, or business documentation.
- Using AI tools or other digital applications for research, reporting, data analysis, or process improvements.

You don't need experience in every area. We expect you to bring an established set of professional skills while being open to learning the products, systems, and processes specific to our business. Why Join Us?

We are an industry leader with over 30 years of experience specializing in the manufacturing and application of heat transfer fluids.
