About the role

Chalmers Fuels is hiring a Dispatch Administrator to support daily delivery operations. This is an office role focused on card reprints, truck report balancing, driver and customer communication, invoicing, and monitor maintenance. Winter is the busier season. Summer is lighter, and the person will pick up other office work to fill the week.

What you’ll do

- Process daily and weekly fuel and propane delivery card reprints
- Assist with daily truck report balancing
- Communicate with drivers and customers on driveways, access, route changes, and special instructions
- Take inbound calls and make outbound calls on delivery dates, status, holds, and access issues
- Complete lubricant and forklift invoicing
- Follow up on collections and held tickets
- Set up and maintain customer monitors, and review level reports and related tickets




- Support management and other admin tasks as needed

A typical day

- Early morning: driver and customer communications
- Morning: truck reports and balancing, then fuel and propane card reprints
- Midday: monitor setup, level reports, and ticket follow-up
- Afternoon: lubricant and forklift invoicing, remaining calls, and collections

What we’re looking for

- Organized and detail-oriented, comfortable multitasking in a busy office
- Strong phone manner with customers and drivers
- Comfortable with computer systems, data entry, and basic invoicing
- Reliable and able to keep accurate records
- Previous dispatch, logistics, billing, or customer service experience is an asset

Schedule 40.0 hours per week, 7:00 AM- 3:00 PM office hours.
