United Canada Inc. – Richmond Hill, ON

Full-Time | In-Person

United Canada Inc. is looking for a highly organized, adaptable, and driven individual to work closely with our Director of Sales and help manage the day-to-day demands of a fast-moving business.

This is not a traditional desk-only administrative position.

We are looking for someone who can become a true right-hand person, someone who keeps things organized, follows up on outstanding tasks, communicates with customers and suppliers, helps solve problems, and steps in wherever needed to keep the business moving smoothly.

Our Director is involved in many different areas of the company, and the goal of this role is to take ownership of many of the daily tasks, follow-ups, customer matters, and operational details so that he can spend more time focused on strategy, sales, partnerships, and growing the business.

What You'll Be Doing

Your responsibilities will vary from day to day and may include:

- Managing and organizing daily priorities, reminders, appointments, and follow-ups
- Helping keep the Director organized and ensuring significant tasks do not get missed
- Communicating with customers by phone, email, and message
- Following up on customer orders, service issues, deliveries, warranties, and outstanding matters
- Helping resolve customer concerns professionally and calmly
- Coordinating with suppliers, sales representatives, warehouse staff, delivery teams, and other employees
- Preparing emails, documents, quotes, reports, and other business correspondence
- Following up with vendors and partners when information or action is required
- Helping organize meetings, projects, deadlines, and ongoing initiatives
- Keeping track of open items and making sure they are followed through to completion
- Assisting with administrative and operational tasks throughout the business
- Helping with special projects as they come up
- Stepping into different areas of the company when additional help is needed
- Identifying problems before they become bigger issues and helping find solutions

Who We're Looking For The ideal candidate is someone who is:
- Extremely organized and good at keeping track of many moving pieces

- A strong communicator, both verbally and in writing
- Comfortable dealing directly with customers
- Calm and professional when problems arise
- Able to multitask and change priorities quickly
- Resourceful and willing to figure things out
- Reliable and strong with follow-through
- Comfortable taking initiative instead of waiting for instructions for every task
- Able to work in a fast-paced environment where every day can be different
- Detail-oriented while still understanding the bigger picture
- Comfortable working closely with senior management
- Positive, hardworking, and willing to get involved wherever needed

We are especially interested in someone who has the drive to grow with the company. You do not necessarily need years of executive assistant experience if you have excellent communication skills, strong organizational ability, good judgment, and the willingness to learn quickly. The Type of Person Who Will Do Well Here

You may be a great fit if you are the person who naturally:

- Keeps everyone organized
- Remembers what still needs to get done
- Follows up without being reminded
- Can deal with an unhappy customer without getting overwhelmed
- Enjoys solving problems
- Likes having responsibility
- Can handle a little chaos without losing focus
- Sees something that needs to be done and takes care of it
- Wants exposure to different areas of a growing business rather than doing the exact same task every day

This role requires someone who is comfortable putting out fires, staying composed under pressure, and helping create order in a busy environment. About United Canada Inc.
