Legal Operations Assistant — Affidavits & Coordination
Pugsley Court Agents Inc. | Remote, anywhere in Canada
Part-time employee | 15–20 hours per week initially
Pay: starting at $18.00 per hour
Own the affidavit workflow — from accurate draft to server sign-off to client delivery.
PCA coordinates process serving and related legal support across Canada and internationally. We are hiring a detail-focused Legal Operations Assistant whose main priority is affidavit drafting and coordination: making sure the correct documents reach our process servers for review and completion, come back promptly, and are delivered to the right clients on time.
This starts as a part time role with room to grow. If you can manage a large volume accurately and keep the affidavit workflow running reliably, the position will expand to full-time with broader legal operations and administrative duties. Affidavits and their delivery remain the first priority.
YOUR MAIN PRIORITY: AFFIDAVITS AND FOLLOW-THROUGH
- Prepare and review affidavits of service and attempted service using process-server notes, source documents and PCA's AI-assisted affidavit builder.
- Find current official court forms and confirm the correct jurisdiction, proceeding, template and formatting requirements.
- Check party names, court file numbers, document titles, dates, times, addresses, service methods, attempt chronology, exhibits and execution or commissioning details against the source records.
- Identify missing or inconsistent information and obtain clarification. Never invent facts or assume an AI-generated answer is correct.
- Send the correct drafts and supporting materials to the appropriate process servers for review, corrections and any required signing or commissioning. Confirm receipt, track what is outstanding and follow up until the completed documents are returned.
- Check returned documents for completeness, send the correct finalized affidavits and attachments to clients, confirm delivery and resolve missing or failed deliveries.
- Coordinate physical mailing or courier delivery when needed, retain copies and track dispatch and delivery.
- Keep a clear record of every file's status, deadline,
document version and next action so nothing stalls between drafting, the server and the client.
AI AND WORKFLOW IMPROVEMENT
Our initial drafts are prepared with AI. Your responsibility is to verify the facts, choose the right form and catch errors before a document is used.
- Improve the PCA affidavit builder through approved prompt, template and checklist refinements.
- Document recurring errors and test changes before they are used on live files.
- Protect confidential information and use client documents only in PCA-approved systems and AI tools.
BROADER LEGAL OPERATIONS AND GROWTH
As you demonstrate the ability to handle volume without sacrificing accuracy, additional responsibilities may include client and server communications, file opening and document organization, updating trackers, following up on outstanding assignments, inbox and task management, and supporting the operations team with administrative work.
Expansion to full-time will depend on performance, capacity and business needs, with any change in hours and responsibilities agreed together. This is not a full-time position at the outset.
WHAT WE ARE LOOKING FOR
- Practical legal-setting or legal-document experience, such as legal assistant, law clerk, paralegal, litigation-support or affidavit-drafting work.
- Exceptional attention to detail, proofreading and written communication.
- The ability to locate authoritative court forms and check requirements instead of relying on a generic template.
- Hands-on familiarity with AI-assisted drafting, prompts and verification, and the ability to keep improving the tools you use.
- Strong organization and the ability to manage a high-volume queue, prioritize deadlines and follow up proactively with servers and clients.
- Confidence with Word/PDF documents, email,
shared files and task tracking.
- Reliable judgment, confidentiality and the ability to work independently from within Canada.
Experience across multiple court jurisdictions, legal automation or template design is an asset. You do not need to be a software developer.
HOURS AND PAY
Part-time employee, approximately 15–20 hours per week initially, with a schedule coordinated around file deadlines and timely server and client communication.
Starting pay is $18.00 per hour, or the applicable provincial or territorial minimum wage if higher.
TO APPLY
Submit your resume and answer the screening questions about your legal-document, AI and coordination experience. Tell us how you stay accurate while managing a busy queue and following files through to completion. Please do not include confidential client information. Shortlisted applicants may be asked to complete a short paid drafting and accuracy exercise.
