About Us
Wave Media is a Grande Prairie marketing agency running large charity lottery campaigns, regional job fairs, and outsourced marketing for local retailers and businesses. We’re small, fast and busy, and we’re looking for someone who uses modern tools, to get more done with less effort.
This Role Is for You If…
- You love being the person who makes everything run.
- You can manage a big workload on your own, without someone checking in.
- You think for yourself, solve problems, and come with solutions, not more questions.
- You’re a natural leader who’s comfortable being the boss, even with volunteers.
- You use AI tools daily because they make you faster and sharper.
- You want your pay tied to your results.
What You’ll Do
Sponsor and Partner Management
- Own relationships with 100+ sponsors, donors and community partners across multiple campaigns each year.
- Track every sponsor’s level, commitments, agreement and deliverables in an accurate master record.
- Draft agreements, follow up until signed, and meet regulatory (AGLC) submission deadlines.
- Keep sponsors informed and appreciated: recognition posts, signage, draw invitations, thank-yous and renewals year over year.
Volunteer and Partner Group Leadership
- Lead dozens of community partner groups and their volunteers, managing them as you would your own staff.
- Run orientation and training for group captains and volunteers on ticket sales, kiosk procedures, cash handling and customer service.
- Build and maintain clear training materials (how-to guides, checklists) so every volunteer knows exactly what’s expected.
- Schedule shifts, confirm coverage, and collect required information by deadline.
- Set clear expectations and hold groups accountable: shifts covered, procedures followed, sales and cash balanced.
- Monitor kiosk operations, correct mistakes on the spot, and retrain when steps get skipped.
- Handle no-shows, issues and difficult conversations directly and professionally.
- Be the go-to leader: approachable and supportive, and firm when it matters.
Campaign and Fundraiser Operations
- Respond to ticket-buyer and call-centre messages the same day: fix orders in our online ticketing system, and reconcile with the team.
- Coordinate prize draws, sponsor representatives, winner paperwork, winner photos and announcements.
- Run sales kiosks and events: setup, signage, displays, and daily cash and sales reconciliation.
- Help plan sponsor appreciation events, including vendors, venue and permits.
- Recruit and support community fundraising groups through their applications, schedules, questions and payments.
Content and Creative
- Capture photos and video at events, sales sites and partner locations; edit and post to social channels on schedule, including live posts during events.
- Update client and campaign websites; manage Google Business listings and online inventory platforms.
- Coordinate print and signage with designers and vendors, proofing everything before approval.
- Book media buys, build ad calendars and confirm contracts.
Client and Business Support
- Manage client sponsorship programs, such as tournament and donation requests, from intake to print to pickup.
- Coordinate billboard and print ad bookings, creative scheduling, and proofing.
- Create and send invoices on time, track vendor donations and credits, and reconcile with client bookkeepers.
- Handle bank deposits, receipts, and forwarding expenses to the right accounts.
- Coordinate exhibitors: bookings, payment follow-up and receipts.
- Keep the office, supplies and shared files organized so anyone can find anything.
Working Smarter
- Use AI tools (ChatGPT, Claude, Canva AI and others) every day to draft, summarize, organize and create.
- Spot repetitive tasks and build templates, automations and AI-assisted shortcuts to cut them down.
- Document how we work so processes are transparent, repeatable and easy to improve.
Our Expectations, Clear from Day One We believe in setting the standard up front. Here’s what success looks like in this role:
- Same-day response. Customer, sponsor and call-centre messages are handled the day they come in. Anything that affects sales or reconciliation is flagged immediately, not the next morning.
- Think for yourself. You don’t need direction for every small task. When something comes up, you work out a solution and handle it. When a decision truly needs your manager, you bring the problem along with a recommended fix. The goal of this role is to take work off your manager’s plate, not add to it.
- No chasing. When a task is done, you confirm it without being asked. Your manager should never have to follow up to find out where something stands.
- Regular updates. When you’re out of the office or at an event, you check in throughout the day. This role comes with plenty of flexibility but communication is key.
Long stretches of silence don’t work here.
- Done means done. If work is requested, work is to be completed. Deadlines are met, or flagged early if they’re at risk.
- Files are complete and accurate. Records match reality.
- Check before it goes out. Dates, years, pricing, sponsor levels and names are verified against the master record before anything is published, printed or sent. Attention to detail is a must.
- Own the follow-up. When a vendor, sponsor or client hasn’t responded, you follow up, and keep following up, until it’s resolved. Things do not slip through cracks.
- Lead like a manager. Partner groups and volunteers are managed like staff. Expectations are communicated clearly and concisely, enforced consistently, and issues are addressed directly and promptly, even when the conversation is uncomfortable.
- Stay organized. Supplies, inventory and files are kept in order. You know what we have and what we need before we run out.
- Professional and coachable. Feedback and reminders are taken in stride. Every email, inside and outside the team, is courteous and constructive.
What We’re Looking For
- Experience in marketing, communications, operations or event coordination. Non-profit, sponsorship or fundraising experience is an asset.
- Proven ability to manage a high volume of relationships and deadlines at once, independently.
- Strong independent judgment and problem-solving. You figure things out, use the resources available, and make sound decisions without being told how.
- Proven experience leading, training or supervising teams or volunteers. You give clear direction, hold people accountable, and aren’t afraid to be the boss.
- Hands-on experience using AI tools in your work, with examples you can show us.
- Comfort with automation or productivity tools (Zapier, Make, monday.com, Google Workspace) is a strong asset.
- Excellent writing. You’ll be the professional, friendly voice of several brands.
- Accuracy with numbers, agreements, invoices and cash.
- Social media, basic photo and video editing, and Canva. WordPress or website editing is an asset.
- Valid driver’s licence and reliable vehicle; local travel is daily.
- Availability for some evenings and weekends during campaign and event periods.
Compensation and Growth
- Starting salary: $62,000–$72,000, depending on experience.
- Bonuses up to $20,000 per year. Tied to measurable results: responsiveness, accuracy, weekend availability, and the processes you improve or automate.
Pay: $62,000.00-$72,000.00 per year
Work Location: In person
