About the Role

We’re looking for a detail-oriented, people-loving Medical Office Assistant / Guest Experience Coordinator to join our team. This role blends front desk professionalism with hospitality. Think patient coordination meets concierge service. You’ll be the first point of contact for our guests, setting the tone for their entire visit, while also contributing behind the scenes through organization, social media support, and clinic coordination.

What You’ll Be Doing

- Greeting and welcoming guests with warmth and professionalism
- Managing check-ins, appointment bookings, and follow-ups using our scheduling system
- Answering phone calls, texts, and emails, providing accurate information about services and products
- Supporting our clinical team with patient intake forms, charting, and maintaining accurate records
- Creating a welcoming environment, ensuring our guest areas are kept tidy, stocked, and inviting
- Handling retail transactions, skincare product sales, and membership inquiries
- Assisting with administrative duties to keep the clinic running smoothly
- Supporting marketing efforts through social media content creation and engagement
- Contributing ideas and taking initiative to elevate the guest experience and overall clinic operations

What We’re Looking For





- Previous experience in a medical office, spa, or customer service setting
- Strong communication skills, both in-person and over the phone/email
- Excellent organizational skills with high attention to detail
- Comfort with scheduling systems and/or EMR (experience is an asset, training provided)
- Creative eye and interest in social media content creation (experience with platforms like Instagram is an asset)
- Professional, polished, and warm demeanour
- Self-starter who can anticipate needs, take initiative, and work independently when required
- Ability to multitask and remain calm under pressure
- Flexible availability, including some evenings and weekends
