About Relief Lab

Relief Lab is a multidisciplinary healthcare clinic in Kanata focused on helping people move better, feel better, and get back to the activities that matter to them.

Our team includes chiropractic and massage therapy, with a strong focus on evidence-informed care, active rehabilitation and creating an excellent patient experience.

We are looking for a Part-Time Front Desk & Marketing Coordinator who can become an important part of both the day-to-day operation and continued growth of the clinic.

This is not simply a position for someone to sit behind a desk and answer the phone.

We are looking for someone who is organized, outgoing, professional, technologically capable and genuinely good with people. The ideal candidate can greet a patient, manage a busy schedule, solve a problem, update our website and help create an Instagram post, sometimes all in the same afternoon.

The Role

You will be one of the first people our patients interact with and an important part of the overall Relief Lab experience.

Your responsibilities will be divided between front-desk/patient care coordination and marketing/clinic development.

Front Desk & Patient Experience

Responsibilities include

- Greeting patients and creating a friendly, professional and welcoming clinic environment
- Answering telephone calls, emails and patient inquiries
- Scheduling, rescheduling and coordinating patient appointments
- Processing payments and issuing receipts and invoices
- Managing practitioner schedules and helping maintain efficient patient flow
- Assisting patients with general questions regarding appointments, services and clinic policies
- Following up with patients when appropriate
- Maintaining accurate patient and administrative information
- Helping keep the reception and common areas organized and presentable
- Communicating effectively with chiropractors, massage therapists and other clinic professionals
- Identifying problems before they become problems and taking initiative to resolve them

Patient confidentiality, discretion and professionalism are essential. Marketing & Social Media

We are specifically looking for someone who can contribute to the growth and visibility of Relief Lab.

Depending on experience, responsibilities may include:

- Creating and scheduling social media content for Instagram, Facebook and other platforms
- Helping turn clinic photos, videos and educational material into engaging social content
- Writing and editing captions and short-form marketing copy
- Updating pages, blogs, staff profiles and other content on our WordPress website

- Assisting with email newsletters and patient communications
- Helping coordinate clinic promotions, community events and outreach initiatives
- Monitoring online reviews and helping manage our online presence
- Assisting with basic graphic design and content creation using tools such as Canva
- Helping organize photos and video content from the clinic
- Generating ideas for local marketing and patient engagement
- Tracking basic marketing results to help determine what is actually working

We don't expect you to be a professional graphic designer, photographer or web developer. We do want someone who understands digital marketing, learns quickly and isn't intimidated by technology.

Who We're Looking For

Our ideal candidate is:

- Extremely personable and comfortable speaking with people from different backgrounds
- Friendly and engaging while remaining professional
- Polished and professional in presentation and communication
- Confident without being pushy
- Organized and detail-oriented
- Comfortable working independently
- Able to prioritize multiple tasks in a busy environment
- Reliable and punctual
- A solid written and verbal communicator
- Comfortable learning new software and technology
- Able to recognize what needs to be done without always waiting to be asked
- Interested in health, fitness, rehabilitation or wellness
- Comfortable appearing occasionally in clinic social media content would be an asset

A positive sense of humour doesn't hurt either. We take patient care seriously. We don't necessarily need to take ourselves seriously all day.

Technical Skills

Strongly preferred:

- WordPress
- Instagram and Facebook
- Canva or similar design software
- Microsoft Word / Microsoft Office
- Google Workspace
- Basic photo and video editing
- Email marketing platforms
- General digital marketing knowledge

Experience with healthcare scheduling or electronic medical record software is an asset but not required. If you are excellent with technology and learn software quickly, we can teach you our clinic systems.

Experience

Previous experience in one or more of the following would be beneficial:
- Medical or healthcare reception
- Chiropractic,

physiotherapy, massage therapy or multidisciplinary clinics
- Customer service
- Hospitality
- Marketing
- Social media management
- Administrative coordination
- Fitness or wellness businesses

However, personality, initiative, reliability and capability matter more to us than having the perfect résumé.

What Success Looks Like

After settling into the position, you should be able to:

- Know our regular patients and make them feel welcome
- Keep the clinic schedule organized and running smoothly
- Handle several competing priorities without becoming overwhelmed
- Communicate confidently with patients and practitioners
- Take ownership of front-desk responsibilities
- Keep our social media and website content current
- Spot opportunities to improve the patient experience
- Contribute ideas rather than simply wait for instructions
- Make the clinic run more smoothly when you're here

Schedule This is a part-time, in-person position at our Kanata clinic.

The position will start with 2 shifts per week (Tuesday and Wendesday 10 am - 7 pm ), depending on clinic needs and candidate availability.

Approximately [15-16] hours per week.

Compensation

$[21.75]/hour, depending on experience and skill set.

Candidates with significant experience in digital marketing, WordPress, social media management or healthcare administration may be considered at the higher end of the range.

Please submit your résumé along with a short introduction telling us a little about yourself and why you think you would be a good fit for Relief Lab.

If you have experience with social media, marketing, WordPress, photography, video or graphic design, we'd also be interested in seeing examples of your work.

One request: please don't send us a five-paragraph cover letter explaining that you're a "hard-working team player with excellent communication skills."

Tell us something useful.
