Body First Wellness Centre is a multidisciplinary clinic dedicated to promoting health and wellness through personalized rehabilitative and fitness services. With locations in Scarborough and North York, we’re looking for a motivated, compassionate, and detail-oriented Patient Care Coordinator to join our growing team.

Role Overview

As our Patient Care Coordinator, you’ll be the first point of contact for our patients and the link between the front desk, our practitioners, and management. You’ll handle bookings, client inquiries, billing and insurance, and help keep the clinic running smoothly and looking its best. Key Responsibilities

Clinic & Client Administration

- Maintain and organize patient records with a high level of accuracy and confidentiality
- Regularly update and review client files
- Ensure timely completion of electronic intake and consent forms in JaneApp

Customer Service

- Greet and assist clients with a warm, professional attitude
- Book and rebook appointments in line with patient treatment plans
- Handle inbound and outbound calls for inquiries, appointments, and follow-ups

Billing & Insurance

- Process insurance claims and verify client coverage
- Resolve billing inquiries professionally
- Generate and reconcile daily financial reports
- Ensure all transactions are processed and closed at the end of each shift

Clinic Operations & Maintenance

- Open and close the clinic as scheduled
- Prepare treatment rooms and maintain supplies
- Keep reception, treatment rooms,



and shared spaces clean and organized
- Wash, fold, and stock towels and linens for practitioners

Marketing Support

- Assist with in-clinic promotions and marketing initiatives
- Encourage patients to share feedback and leave online reviews

Requirements

- Front desk experience in a clinic setting (required)
- Post-secondary education (required)
- 1 year of experience as a Medical Administrative Assistant (preferred)
- Experience with JaneApp (an asset)
- Strong organizational, communication, and customer service skills
- Friendly, empathetic, and able to multitask in a busy workplace
- Weekend availability is a must

Schedule We’re open 7 days a week, including statutory holidays. You’ll be scheduled 2 days off per week, with a mix of day and evening shifts.

- Opening shifts start at 7:00 AM (first appointments from 7:45am to 8:15 AM)
- Closing shifts run until around 9:00 PM, and may run slightly later depending on closing tasks
- Some shifts, including weekends
- Hours & Compensation
- Training (first 2 weeks): 15–20 hours/week at $18.50/hour
- After training: Up to 35–40 hours/week at $20.00/hour once you’re working independently
- After 3-month probation: Eligible for Extended Health Care benefits, with potential for a pay increase based on the skills you bring to the team
