Focus Microwaves, an MPI Corporation company, is a pioneering engineering company that designs, develops, and manufactures precision microwave measurement systems used by leading RF and semiconductor companies around the world.
Our success is built on the skills of a highly motivated and experienced team of engineers, technicians, and professionals who are encouraged to learn, innovate, and develop new technologies. We listen closely to our customers’ needs and insights, which helps us continuously discover and develop new measurement methods.
Every day, we push the limits of what is possible, and every member of our team plays a part in that success.
About the Role
We are looking for a motivated, highly organized, and detail-oriented Sales Administrator to support our Sales team. This is a fast-paced role where accuracy matters in every document and every number, and where no two days look the same.
The role covers a wide range of tasks: preparing quotations, processing purchase orders, keeping customer information up to date in our systems, producing administrative documents, and organizing business trips with all related bookings and documents. Much of this work is not standard. Most of our quotations (around 90%) are customized to each customer’s technical requirements, and documents, plans, and bookings often change several times before they are final.
The right person is patient, comfortable with frequent changes, and sees each revision as part of the job rather than a setback.
We value attitude over experience. Experience comes with time; the right attitude is what we cannot teach. We are looking for someone who is reliable, responsible, and genuinely curious, someone who is happy to learn something new every day and grow with the role.
Responsibilities
Key Responsibilities
- Prepare and manage customized quotations for customers and representatives (REPs), with a high level of accuracy in pricing, configurations, and terms
- Revise and update quotations as customer requirements evolve, often through multiple versions, while keeping every version accurate and well documented
- Follow up with customers and REPs regarding quotes and inquiries
- Receive, review, and process purchase orders (POs), carefully checking them against quotations for discrepancies
- Enter and maintain accurate data in internal systems (e.g., SalesForce, Notixia)
- Coordinate travel arrangements and accommodations
- Support sales and administrative activities as needed
- Ensure timely and accurate documentation and communication
What Makes Someone Successful in This Role
- Exceptional accuracy and attention to detail. Small errors in a quotation or PO can have real consequences, so double-checking your work is second nature to you.
- Patience and flexibility with change. You stay calm and positive when a quote needs to be modified for the third or fourth time, and you adapt quickly when priorities shift.
- True multitasking. You will regularly handle several quotations, POs, follow-ups, and requests at the same time, and you keep all of them moving without losing track.
- Strong prioritization. You can quickly judge what is urgent and what can wait, organize your day accordingly, and re-prioritize when something new comes in.
- A learning mindset.
You are open to learning something new every day, whether it is a product, a system, or a better way of doing things.
