About Us

Tap Phong has supplied Toronto's restaurants, hotels, bakeries, and home cooks since 1984. We're a family business in Chinatown with a busy store, a 50,000 sq ft warehouse, and a growing wholesale side. We're in the middle of rolling out new systems and a new online store, and we need someone who wants to help build that.

The Role

You'll own our order desk. When a customer calls, texts, or emails an order, you take it from quote to delivered. You'll book our trucks, ship courier orders, fix problems before they reach management, and help us get our new systems up and running. This is a fast paced job with a lot of moving parts. It isn't for everyone, but if you like owning things and fixing them, you'll do well here.

What You'll Do

- Turn phone, text, and email orders into quotes and sales orders
- Follow up on open quotes and keep customers updated
- Check stock with the store and warehouse, and handle special orders with suppliers
- Book and schedule deliveries in CartonCloud and plan daily runs with our drivers
- Ship courier orders through Freightcom and handle any delays or damage claims
- Help pick, pack, and check orders before they go out
- Answer phones, manage the shared inbox, and cover cash when needed
- Help test and launch NetSuite, a new POS, and our new online store
- Use sales data to spot slow moving products, and help pack them up for donation or clearance as we streamline our product range
- Write simple how to guides so the whole team does things the same way

What We're Looking For

- 2 or more years in admin, order desk, sales support, or operations
- Fluent English
- Super organized,



with a sharp eye for detail
- A highly motivated self starter who takes ownership of problems from start to finish
- A natural problem solver. When you hit something you can't fix on your own, you come with a few options, not just the problem
- Calm and steady under pressure. Busy days, tough customers, and shifting priorities don't rattle you
- Takes direct feedback well and keeps moving forward
- Picks up new software quickly and is comfortable working with data in Excel
- Able to lift up to 20 lbs and be on your feet for part of the day

Nice to Have

- Cantonese, Mandarin, or Vietnamese
- Experience with Lightspeed, QuoteMachine, CartonCloud, Freightcom, or NetSuite
- Microsoft Outlook, Teams, and Planner
- Background in restaurant supply, wholesale, or distribution
