Compass Holidays is a Richmond Hill-based travel agency offering tours, cruises and custom travel packages to clients across the Greater Toronto Area. Our European group tours are growing, and we are looking for a detail-oriented Visa Specialist to guide our travellers smoothly through the visa process.

What You'll Do

- Manage the full visa process for clients joining our European tours, mainly Schengen visas, as well as UK and other European visas and travel authorizations (such as the UK ETA).
- Assess each client's visa requirements based on nationality, residency status and travel itinerary, and provide clear document checklists.
- Review application forms and supporting documents for accuracy and completeness before submission.
- Prepare supporting documents such as tour itineraries, hotel confirmations, invitation or confirmation letters, and travel insurance proof.
- Book and manage appointments with visa application centres (e.g. VFS Global, TLScontact, BLS) and consulates, and coordinate group appointments when needed.
- Track application status and passport returns, and keep clients and the tour operations team updated on timelines.
- Coordinate with tour operations and sales so visa timelines match departure dates and group deadlines.
- Answer client questions by phone, email and WeChat in a clear and friendly way.




- Keep up to date with changes in visa rules, fees, processing times and entry requirements, and update internal checklists and templates.
- Handle client documents and personal information securely and confidentially.

What We're Looking For

- 1–2+ years of experience processing visa applications, ideally Schengen or UK visas, at a travel agency, visa service company or similar.
- Strong attention to detail and the ability to manage many applications and deadlines at the same time.
- Strong written and spoken English and Mandarin. Cantonese is an asset.
- Familiarity with online visa application systems and visa centre booking platforms.
- Good computer skills (Microsoft Office, PDF editing, scanning and document management).
- Patient, organized and customer-focused, with clear communication skills.

Nice to Have

- Experience with group visa applications for tours.
- Knowledge of other visa types (e.g. US, Japan, Australia) or travel insurance.
- Background in travel, tourism or administration.
