Position Purpose
To provide reception and administrative/clerical support for Town recreation & cultural facilities. For full details, please see attached job description.

Minimum Qualifications and requirements
¿ High school diploma or equivalent academic level;
¿ One year previous office and customer service experience, including experience in a customer service/public facility;
¿ Must possess or attain within four weeks of hire, current Standard First Aid/CPR ¿C¿ certificate, issued by a provider recognized by WSIB;
¿ Police Vulnerable Sector Check.
¿ Strong knowledge/background of recreation, aquatic and/or cultural programs;
¿ Strong customer service/public relations skills;
¿ Ability to work shifts and/or weekends as necessary;

Position Summary

To provide reception and administrative/clerical support for Town recreation & cultural facilities.

Responsibilities

- Greets the public and answers public inquiries in person, by email and by telephone, including the monitoring of departmental incoming email mailbox for response and/or redirection;

- Responsible for processing registration and facility bookings including customer follow up;

- Collects, on a daily basis, all incoming transactions including admissions, passes, rentals, program registration fees, vending machine coins and prepares invoices as necessary;

- Processes all transfers and refunds as approved by the Supervisor (or designate) and maintains accurate and up to date records on all transactions;

- Processes all accounts payable as requested and assigns account numbers to same for managers/supervisors authorization;

- Balances all monies, prepares banks deposits and delivers same to the bank on a regular basis;

- Reviews daily cash balance reports and advises supervisor of any discrepancies;

- Monitors and records, daily, participants¿ numbers to ensure facility capacities are within the regulated limits in respect of programming spaces;

- Provides clerical/administrative support to the Supervisors/Managers as required, including but not limited to: generating registration,



reservation, daily close reports, processes form letters, including approved letters, memos, reports, statistical information and other documentation;

- Assists in the facilitation of birthday parties and program activities, including set up and takedown as required;

- Supports the delivery of site specific special events as required/requested;

- Assists the Supervisor (or designate) with scheduling of the casual receptionists as necessary;

- Assists the Supervisor (or designate) with statistics and analysis of cash related documentation for reports and budget purposes;

- Maintains and updates the telephone and messaging systems as requested;

- Maintains an up to date record of program and first aid supplies, point of sale merchandise and vending machine supplies for the facility inventory, and recommends and orders items upon Supervisor/Manager approval;

- Maintains the reception areas/welcome desks and office to ensure it is clean and presentable at all times;

- Photocopies and distributes correspondence and other material as required;

- - Reports equipment failure to Supervisor (or designate);

Minimum Qualifications

- High school diploma or equivalent academic level;
- Strong knowledge/background of recreation, aquatic and/or cultural programs;
- One year previous office and customer service experience, including experience in a customer service/public facility;
- Skill and efficiency in the use of computer software including ActiveNet software program, word processing, spreadsheet applications, internet and email;
- Must possess or attain within four weeks of hire, current Standard First Aid/CPR ¿C¿ certificate, issued by a provider recognized by WSIB;
- Strong customer service/public relations skills;
- Ability to work shifts and/or weekends as necessary;
- Valid Class 'G' Driver's license and reliable vehicle;
- Six months period of adjustment, orientation and adaptation on the job with the organization;
- Police Vulnerable Sector Check.
