Location: Toronto, Ontario
Work Arrangement: In office, 5 days per week
Contract Duration: 3 months
Hourly Wage: $23–$27/hour
Key Responsibilities:
- Welcome visitors and staff, ensuring a positive and professional experience.
- Answer, screen, and direct incoming phone calls and inquiries.
- Respond to and route phone, email, and in-person inquiries to the appropriate departments or contacts.
- Maintain visitor logs and notify staff of guest arrivals.
- Receive, sort, and distribute incoming mail, packages, and courier deliveries.
- Prepare and coordinate outgoing mail, courier shipments, and internal documents.
- Perform general administrative duties, including data entry, filing, scanning, and photocopying.
- Maintain a clean, organized, and welcoming reception area.
- Monitor office and kitchen supplies and assist with inventory replenishment.
- Ensure common areas, including the kitchen, remain clean, stocked, and well organized.
- Liaise with vendors, couriers, and service providers to support daily office operations.
- Coordinate maintenance and repair requests in collaboration with HR and facility management.
- Address and elevate office-related concerns and requests in a timely and professional manner.
- Provide administrative support to HR, Finance, and Operations teams as needed.
- Assist with the coordination of staff events, meetings,
and team-building activities.
- Support additional office administration and operational tasks as assigned.
Skills and Qualifications:
- Minimum one year reception experience.
- Excellent verbal and written communication skills, with the ability to provide exceptional customer service and act as a professional first point of contact.
- Strong interpersonal skills with the ability to build positive relationships and interact effectively with stakeholders, visitors, and colleagues.
- Demonstrated professionalism, discretion, and sound judgment when handling inquiries, concerns, and confidential information.
- Exceptional organizational skills with the ability to manage multiple priorities, maintain accurate schedules, and coordinate meeting room bookings.
- Proven ability to multitask in a fast-paced environment while balancing reception, administrative, and communication responsibilities.
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and the ability to learn and use office technology and equipment.
- Strong problem-solving skills and the ability to respond effectively to unexpected situations and changing priorities.
- Flexible and adaptable, with a willingness to support a variety of administrative and reception-related tasks as needed.
