We are seeking an experienced Office Administrator to take responsibility for the day-to-day administration and organization of our Red Deer office.
This is a senior administrative position for someone who takes pride in running an organized, professional and efficient office. We are looking for someone who notices what needs to be done, follows through without repeated reminders, keeps accurate records, communicates professionally, and maintains high standards even during busy periods.
Experience Required 8–10 years of progressive office administration experience is required.
Experience in a law firm, professional-services firm, accounting firm, financial-services business, or another highly regulated professional environment would be a strong asset.
Key Responsibilities The Office Administrator will oversee and coordinate the general administrative operations of the office, including:
Managing the day-to-day administrative needs of the Red Deer office.
Maintaining organized office systems, records, files and administrative procedures.
Coordinating incoming and outgoing mail, couriers, deliveries and general correspondence.
Managing office supplies, equipment and relationships with service providers and vendors.
Maintaining filing systems and ensuring documents and administrative records are properly organized.
Assisting with cheque printing and other routine administrative processing as directed.
Coordinating staff onboarding and offboarding requirements.
Preparing workstations, accounts, equipment and administrative materials for new employees.
Coordinating job postings, recruitment administration and interview scheduling.
Supporting staff scheduling, office calendars, meetings and internal administrative coordination.
Tracking administrative tasks, deadlines,

responsible team members and required follow-ups.
Following up on outstanding administrative matters to ensure tasks are actually completed.
Assisting with office policies, procedures and internal administrative documentation.
Coordinating with lawyers, legal assistants, bookkeeping/accounting personnel, technology providers and external vendors.
Assisting with administrative aspects of payroll or accounting processes when required; however, this is not primarily a bookkeeping position.
Helping improve existing office procedures where systems are inefficient, inconsistent or unclear.
Supporting implementation and use of office technology and administrative systems.
Assisting staff with routine use of Microsoft 365 and other office systems.
Supporting coordination of firm events, meetings, community initiatives and occasional special projects.
Maintaining a professional, welcoming and organized office environment.
Handling confidential and sensitive information with discretion.
What We Are Looking For The successful candidate will have:
8–10 years of office administration experience.
Demonstrated experience independently managing the administrative operations of a busy professional office.
Exceptional organizational and follow-through skills.
Strong attention to detail.
Excellent written and verbal communication skills.
Strong professional judgment and discretion.
The ability to manage competing priorities and changing deadlines.
The ability to identify problems and take appropriate action rather than waiting to be repeatedly instructed.
Strong record-keeping and document-management skills.
Experience coordinating multiple employees, vendors and external service providers.

Confidence working in a fast-paced environment where priorities can change quickly.
Strong Microsoft Office / Microsoft 365 skills, including Outlook, Word and Excel.
Comfort learning and working with cloud-based office and practice-management systems.
A professional and positive approach to clients, colleagues and external contacts.
A demonstrated commitment to completing work accurately and on time.
Bookkeeping experience will be an asset.
Experience with Unity, Hubdoc, QuickBooks, legal practice-management software, or similar professional-office systems would be an asset but is not required.
Our Service Standard Our firm operates with a client-first service philosophy.
We expect our team members to provide service that is:
Professional
Positive
Timely
Accurate
Respectful
Responsive
This position requires someone who takes ownership of their responsibilities and maintains a consistently high standard of performance.
The Right Person This role may be particularly well suited to someone who has spent several years running an office and understands that strong administration is much more than answering phones or completing individual tasks.
We are looking for someone who can walk into a busy office, understand how the pieces fit together, establish priorities, develop reliable systems and make sure significant administrative matters do not fall through the cracks.
You should be comfortable asking questions when necessary, taking thorough notes, documenting decisions, tracking deadlines and following matters through to completion.
Work Location This is an on-site position based at our Gasoline Alley office.
Regular in-person attendance is an essential requirement of the position.
Position Type Full-Time, Permanent
We are looking to fill this position as soon as possible.
Donna Purcell QC Law is committed to professionalism, innovation, excellent client service and building a strong team to support the continued growth of the firm.
