Work Arrangement: On-site, 5 days per week
Contract Duration: 3 months
Hourly Wage: $23–$27/hour
Key Responsibilities:
Welcome visitors and staff, ensuring a positive and professional experience.
Answer, screen, and direct incoming phone calls and inquiries.
Respond to and route phone, email, and in-person inquiries to the appropriate departments or contacts.
Maintain visitor logs and notify staff of guest arrivals.
Receive, sort, and distribute incoming mail, packages, and courier deliveries.
Prepare and coordinate outgoing mail, courier shipments, and internal documents.
Perform general administrative duties, including data entry, filing, scanning, and photocopying.
Maintain a clean, organized, and welcoming reception area.
Monitor office and kitchen supplies and assist with inventory replenishment.
Ensure common areas, including the kitchen, remain clean, stocked, and well organized.
Liaise with vendors, couriers, and service providers to support daily office operations.
Coordinate maintenance and repair requests in collaboration with HR and facility management.
Address and elevate office-related concerns and requests in a timely and skilled manner.
Provide administrative support to HR, Finance, and Operations teams as needed.
Assist with the coordination of staff events, meetings,
and team-building activities.
Support additional office administration and operational tasks as assigned.
Skills and Qualifications:
Minimum one year reception experience.
Excellent verbal and written communication skills, with the ability to provide exceptional customer service and act as a professional first point of contact.
Strong interpersonal skills with the ability to build positive relationships and interact effectively with stakeholders, visitors, and colleagues.
Demonstrated professionalism, discretion, and sound judgment when handling inquiries, concerns, and confidential information.
Exceptional organizational skills with the ability to manage multiple priorities, maintain accurate schedules, and coordinate meeting room bookings.
Proven ability to multitask in a fast-paced environment while balancing reception, administrative, and communication responsibilities.
Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and the ability to learn and use office technology and equipment.
Strong problem-solving skills and the ability to respond effectively to unexpected situations and changing priorities.
Flexible and adaptable, with a willingness to support a variety of administrative and reception-related tasks as needed.
